SCHEDULE: 8:00 am - 5:00 pm Pacific or 8:30 am - 5:30 pm Pacific

PAY RANGE: $ hourly

JOB DESCRIPTION:

  • The HR Shared Services Specialist is responsible for providing daily administrative and technical process support on escalated cases from HR Shared Services Representative Team (Tier 1). He/she supports multiple aspects of HR operations service inquiry and organization data administration.
  • Support and maintain the hiring process with active involvement in recruitment activities.
  • May act as the team's resource and subject matter expert.
  • Create and manage job requisitions and postings, coordinate background checks and drug screens, employee referral program, and create offer letters, administer relocation program, process new hire paperwork and prepare new hire packages.
  • Coordinate high volume phone and on-site interview scheduling requests in a timely manner.
  • Assist in facilitating the hiring process by interacting with HR staff and management, recruiters, hiring managers, internal and external applicants/candidates and other areas of HR as needed.
  • May assist with college recruiting program and employment/immigration activities.
  • Track and input data for various HR functions such as applicant tracking, requisition activity reporting, and HRIS/payroll system processing. Generate reports.
  • Arrange travel and hotel accommodations for candidates.
  • Preserve confidential information such as offer letters, compensation data, and candidate information with a high degree of integrity and judgment.
  • Follow department's processes and procedures in daily activities, actively identify areas of improvement and recommend solutions.
  • Actively contribute to the results of a team and work toward achieving goals and objectives.

JOB RESPONSIBILITIES:

  • Provide Workday related transaction support and troubleshooting for cases escalated from Tier 1 support or HRBPs
  • Provide reporting & analysis support, audit and compliance support
  • Provide on-boarding support for internal and external candidates not handled by TIER 1 support including support to processing or troubleshooting Workday related onboarding transactions, gathering documentation, etc.
  • Work with HRBPs to handle off-boarding processing including sending resignation / termination paperwork, processing termination, coordinating final pay, handling termination notices, maintaining termination checklists and completing exit interviews
  • Support organizational changes including acquisitions, restructuring, RIFs, etc. with a focus on handling system related transaction processing, gathering date for mass changes, handling position changes, and providing project and related preparation support to HRBPs
  • Provide guidance related to time keeping support; including coordinating with payroll to process off-cycle commission and bonus requests
  • Provide escalated support from Tier 1 support for business specific policy and process questions that may require stronger business knowledge and/or coordination with HRBPs
  • May provide support for HR annualized programs including administration support related to communication, employee documentation, and auditing
  • Protects organization's value by keeping information confidential.
  • Ensures SOP are being followed and non-compliant items are escalated as appropriate.
  • Strong attention to service delivery levels and high customer service standards

REQUIRED QUALIFICATIONS:

  • Excellent customer service skills
  • Proficient in processing workflow, transactions and data changes using Workday HRMS
  • Demonstrated ability to work in a collaborative environment, build consensus and promote the exchange of information among project team members
  • Ability to promote and implement changes to current practices and processes
  • Excellent written, oral, and interpersonal communication skills
  • Detail-oriented, strong analytical, problem solving, and organizational skills
  • Ability to handle multiple concurrent tasks and changing priorities
  • Intermediate knowledge of Microsoft Office applications such as MS Word, Excel, Power Point and Outlook
  • Strong understanding in HRMS and Case Management technologies (e.g. Workday, ServiceNow)

WORKING CONDITIONS:

  • May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
  • The ability to lift up to 30lbs
  • Use of computers and technology
