Overview

The Community Outreach Assistant plays a vital role in supporting various programs aimed at assisting local and state-wide animal welfare organizations. This position collaborates with the Community Initiatives department to oversee initiatives like the Pet Food & Supply Bank, Community Cats Program, Pets in Crisis Program, research assignments, events coordination, and other community efforts. The Community Outreach Assistant is responsible for fostering and nurturing productive relationships with affiliate organizations, community members, and donors.

Responsibilities

Pet Food & Supply Bank
  • Serve as the main point of contact for clients, ensuring effective communication of program updates and information
  • Manage and address support tickets or client concerns efficiently
  • Maintain the PantrySoft storefront and portal to facilitate client donations and distribution
  • Handle client invoicing, maintaining accurate records and receipts
  • Assist in onboarding new clients and guiding them in utilizing program software
  • Enhance client engagement and success through interactive communication
  • Keep track of data for reporting purposes and submit necessary documentation to donor organizations
  • Provide assistance in transporting supplies and organizing donations when required
Other responsibilities include managing various programs, grants, events, and community initiatives
  • Conduct data entry tasks with precision
  • Present research findings and reports effectively
  • Engage with the public and share information at events
  • Opportunities for cross-training in veterinary assistant responsibilities
General Duties
  • Utilize designated software (Hubspot, PantrySoft, ClinicHQ, Petpoint, etc.) to enhance efficiency in Community Initiatives programs
  • Represent AHS professionally at all times
  • Effectively manage time to support multiple areas of focus concurrently
  • Adhere to departmental standard operating procedures communicated both verbally and in writing
  • Provide on-site support at warehouse, shelter, or community events as per schedule
  • Perform any other duties as required
Qualifications and Requirements
  • High school diploma or GED equivalent required
  • Ability to set aside personal judgment for the wellbeing of clients and animals
  • Effective collaboration with a diverse group of staff, volunteers, and clients from various backgrounds
  • Passionate advocate for animal welfare and improvement
  • Demonstrated ability to make sound, independent judgments
  • Self-motivated, able to work independently with minimal supervision, and maintain a positive attitude
  • Discreet handling of confidential information is crucial
  • Excellent oral and written communication skills
  • Strong interpersonal skills and the ability to work well in a team setting
  • Proven capability to multitask efficiently and adapt to changing priorities
  • Strong organizational and computer skills, experience with Microsoft Office Suite
  • Valid Georgia driver's license or ability to obtain one and be insurable by AHS insurance
  • Willingness to travel within Georgia and potentially out of state
  • Flexible hours and availability to work occasional evenings and weekends
  • Prior experience with animals is a plus
