Job Description
The Corporate Security Project Controller will provide vital support to the SMARTID project. Responsibilities include organizing and documenting meetings, tracking and managing action items, and handling administrative tasks related to badge and status reconciliation. This role requires meticulous attention to detail and effective communication skills to ensure smooth project execution.
Key Responsibilities:
- Schedule and participate in project meetings, take detailed notes, and distribute them to participants.
- Track action items from meetings to completion, escalating issues as needed.
- Perform badge reconciliation, including matching photographs to the Lenel system for accuracy.
- Take and edit photographs in the field using provided software.
- Provide support for the SMARTID call line and assist with the activation of new badges.
- Review and edit employee photographs to comply with ID Photo Requirements using various tools.
- Utilize the Lenel OnGuard System to update employee credential statuses and other related tasks.
- Handle receipt and destruction of old employee credentials.
- Prepare documentation according to defined standards.
- Assist the APD-CS Project Manager with various project-related tasks.
Essential Functions:
- Schedule and manage project meetings, create and distribute meeting notes.
- Ensure employee photographs meet ID requirements through editing.
- Update employee credential statuses using the Lenel OnGuard System.
- Provide telephone support for new credential activation.
- Follow up on employee questions related to the rebadging project.
- Handle old credential returns and manage their destruction.
Minimum Qualifications:
- Associate degree in a related field.
- At least two years of experience in similar roles.
- Excellent communication skills.
- Strong interpersonal skills and ability to work both independently and collaboratively.
- Familiarity with access control systems or similar tools.
- Ability to coordinate meetings and prepare written documentation.
- Ability to perform under pressure and meet aggressive deadlines.
- Proficiency in Microsoft Office Suite, including SharePoint, Excel, Outlook, and Word.
Preferred Qualifications:
- Experience with large-scale badging projects.
- Advanced skills in Microsoft Excel and Word.
- Strong verbal communication skills to handle customer requests.
- Keen attention to detail.
People Skills:
- Strong interpersonal and time management abilities.
- Capability to prioritize and manage multiple projects concurrently.
- Maintain effective communication with the Director, project manager, and team members.
- Build productive and trusted relationships with colleagues and clients.
- Excellent planning and organization skills in a demanding environment.
- Highly motivated, proactive, and possesses excellent analytical and communication skills.
