Job Title: Visitor Management Specialist

Location: Washington, DC

Key Responsibilities

This position offers part-time opportunities, including weekend and holiday shifts, as well as on-call options for weekday coverage. The role involves providing visitor management support to the Federal Protective Service (FPS) Visitor Management and Access Control (VMAC) program office. The VMAC is tasked with overseeing visitor management and access control at designated facilities, ensuring security and safety for all personnel. Key responsibilities include:

  • Verifying visitor details in the Visitor Management System (VMS) before issuing visitor badges.
  • Ensuring that visitors without a Common Access Card (CAC) or Personal Identity Verification (PIV) card present valid government-issued identification in accordance with established guidelines.
  • Issuing parking permits as authorized by the VMS or the Office of the Chief Readiness Support Officer (OCRSO).
  • Adhering to FPS directives for large events and ceremonies specific to the designated campus.
  • Collaborating with FPS technical representatives to process requests effectively, addressing unique visitor needs, and notifying Security offices of any emergencies.
  • Managing communication via phone and electronic correspondence related to visitor management tasks.
  • Conducting background checks utilizing the National Crime Information Center (NCIC) database.
  • Evaluating results based on established policies regarding visitor access control.
  • Researching criminal history through court case information and other databases.
  • Processing visitor access requests in compliance with established protocols using the VMS and other IT systems.
  • Supporting stakeholders and FPS in coordinating visitor management for large events.
  • Assisting with visitor management aspects of construction projects on campus.
  • Participating in regular meetings concerning upcoming projects and events.
  • Providing briefings to visitors regarding access procedures and policies.
  • Maintaining confidentiality and Personal Identification Information (PII) in accordance with the Privacy Act of 1974 and relevant policies.
  • Collaborating effectively with various branches and divisions to achieve objectives.
  • Offering assistance with special projects as needed.
Qualifications
  • A minimum of three (3) years of experience in visitor management within controlled access environments.
  • Familiarity with NCIC/NLETS is highly desirable.
  • Experience in reviewing and approving access requests in compliance with organizational policies.
  • Strong communication skills, both verbal and written, in English.
  • Ability to conduct thorough research and analysis of technical data.
  • Competence in interpreting management policies and regulations.
  • Proficiency in Microsoft Office Suite (2010 or higher).
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Demonstrated customer service skills, including empathy and problem-solving abilities.
  • Capacity to remain alert and focused throughout shifts.
  • Ability to navigate the campus in varying weather conditions.
