Overview
The Senior Administrative Assistant provides administrative and secretarial support for a department or group of individuals. The Administrative Assistant will support actuarial and administrative services working directly with all members of the actuarial and administrative teams. Responsibilities will include assisting with the processes required to manage the group, aiding business development efforts, and providing general administrative support that delivers efficient client service and supports revenue growth.
The role requires efficient project and task management and solid communication skills. Given the role dynamics, being able to manage multiple tasks and responsibilities is key to success. This role also requires innovative thinking and proactiveness to relieve these duties from the actuarial and administrative staff so they can focus on their other responsibilities.
How you'll make an impact
- Responsibilities may include, but are not limited to: daily scanning and mailing, invoice preparation, expense management and payment, reviewing and finalizing client deliverables (emails, Word, Adobe, PowerPoint),
- coordinating meetings, managing and ordering supplies and equipment, and other in-office administrative tasks
- While this position coordinates and executes administrative tasks, a large portion of time is spent performing secretarial duties
- This position is 100% in the office, as many of the daily responsibilities require access to daily mail and office equipment
Additional Considerations:
Client Service - Assisting the team with client work efforts:
- Supporting the administration call centers with administrative tasks including procedures, projects, scanning and mailing
- Collecting mail daily from USPS (around 1 mile from office) during work hours
- Efficiently organizing all documents
- Typing and proofing documents with a very high level of accuracy and efficiency
- Preparing and tracking Consulting Service agreements and invoicing for each client
- Ensuring a consistent, professional appearance of all products
- Offering creative ideas and skills to improve appearance of presentations
- Performing clerical duties such as report/presentation binding and mailing
Supporting Management - Assisting in the group's management operations including:
- Preparing client invoices and billing throughout each month
- Handling the payment of team and individual expenses (vendor supplies, software, etc.)
- Assisting with internal office needs such as scheduling and preparing for internal meetings; maintaining Employee bios, work anniversaries and emergency contact lists; maintaining an organized file system; and setting up internal meetings (audio/visual)
- Handling travel arrangements and expense reports
- Assisting with new-hire onboarding
- Planning employee events, making meal reservations, and ordering food for group team events
- Providing as backup to the office doorbell on an as-needed basis
- Offering general support to improve business efficiencies
About You
Required:
- High school diploma and 5 years of related experience required.
- Incumbents in this position possess excellent organizational skills and can handle multiple tasks, simultaneously.
- Proficiency in Microsoft Office (Word, Excel and Outlook, PowerPoint, Adobe) is required.
