POSITION OBJECTIVE
The compliance coordinator will assist in monitoring sponsored projects compliance with federal, state, and local laws and regulations. The coordinator will identify problems or issues regarding compliance with federal regulations and university policy and work with research administrators at the central, school and department level to address them. The coordinator will analyze and reconcile discrepancies related to compliance reports, where appropriate; review recommended adjustments with the appropriate management center and the Executive Director, Financial Compliance Accounting and ensure that such entries are entered accurately and in a timely manner. In addition, the position will assist with the education and training programs for faculty, staff and students regarding federal regulations and university policy and procedures as they relate to compliance. This will require working closely with other staff in the Office of Research Administration (ORA), the Research Administration Office of the School of Medicine, and the sponsored projects personnel in the schools. This position, in conjunction with the Executive Director is responsible for helping to ensure that the universitys compliance policies and procedures are implemented in an efficient and effective fashion, such that the university is in full compliance with all applicable laws and regulations.

ESSENTIAL FUNCTIONS
1. Maintain a compliance reporting system for tracking faculty, staff, and student effort on sponsored projects. This will include the analysis of semi-annual or semester reports, follow up of questionable issues and monitor Key Personnel restrictions. (25%)
2. Assist in monitoring all sponsored project end dates to ensure project closeouts are completed in a timely manner. (25%)
3. Ensure the integrity of payroll information used to monitor effort prior to each reporting cycle. This will involve working with staff in Information Technology Services (UTech), Office of Research Administration, department chairs, and administrators (i.e., to obtain compensation data outside of the universitys payroll system, e.g., practice plan compensation). (10%)
4. Work with all faculty, staff, and students associated with sponsored projects to ensure that their compliance reports are completed in a timely fashion. (10%)
5. Reconcile discrepancies in the reporting system. This includes working with management center and department administrators to ensure that adjustments are made in a timely fashion. (10%)
6. Monitor the regulatory environment at the federal and state levels, and coordinate with the Office of Research Administration to report significant developments regarding compliance issues. (10%)
7. Provide training to faculty, staff, and students on compliance policies and procedures. (10%)

NONESSENTIAL FUNCTIONS
1. Serve as a resource to the university community for other sponsored project accounting functions such as financial reporting and invoicing.
2. Perform other duties as assigned.

CONTACTS
Department: Frequent contacts with Post Award Services and Financial Compliance and other staff within the Office of Research Administration.
University: Frequent contacts with Payroll, ITS, faculty, departmental administrators, management center administrators and compliance staff to assist with the development and implementation of policies and procedures and related to compliance. Occasional contact with dean's level administrators.
External: Contact with peers at other universities, associations, and governmental agency staff.
Students: Minimal contact.

SUPERVISORY RESPONSIBILITY
No direct supervisory responsibility.

QUALIFICATIONS
Education/Experience: High school education and 5 years of related experience OR a Bachelor's degree in a business related field and 1 years of experience in finance, compliance, or audit within an organization, with a preference for experience in a research or academic setting.

REQUIRED SKILLS
1. Should possess comprehensive knowledge and hands-on experience with procedures and policies related to compliance, accounting, and administration within an academic environment or demonstration of ability to support the administration of compliance policies and procedures in an business setting.
2. Refined, professional interpersonal skills are essential due to frequent interactions with faculty, staff, and senior administration.
3. Must thoroughly understand effort reporting, compliance and research administration processes, methods and strategies and be able to communicate that knowledge effectively.
4. Must possess considerable personal integrity and the ability to work with and manage confidential information.
5. Must possess strong written and oral skills.
6. Must be able to manage multiple tasks within tight timelines; must be results-oriented.
7. Must enjoy working in the compliance arena in a university setting.
8. Must possess strong project management skills to meet compliance requirements in a timely fashion.
9. Ability to meet consistent attendance.
10. Ability to interact with colleagues, supervisors, and customers face to face.

WORKING CONDITIONS
General office working environment. Extended hours may be required.


Hybrid Eligibility

This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
