Lets do this. Lets change the world. In this vital role you will support leaders within the Research & Development Strategy and Operations (RDSO) organization. This is a pivotal role in supporting multiple executive directors within our fast-paced and dynamic organization. This position requires exceptional organizational skills, adaptability, and the ability to manage numerous priorities simultaneously. The ideal candidate will excel in a high-pressure environment, providing comprehensive administrative support, managing complex calendars, coordinating cross-functional meetings, and facilitating seamless communication. The Administrative Coordinator will also handle travel arrangements, prepare expense reports, order supplies, and assist with other projects, as needed. This role demands outstanding time management, excellent communication skills, and the ability to work both independently and collaboratively to support various efforts and ensure the smooth operation of executive functions.

Responsibilities

  • Scheduling meetings for multiple executive leaders and proactively managing Outlook calendars to address scheduling conflicts

  • Coordinating travel arrangements, including international travel, & preparing expense reports

  • Maintaining and updating distribution lists, and personnel lists accurately.

  • Managing the administrative aspects of contract workers

  • Providing backup support to Senior Executive Assistant (SEA), as needed

  • Coordinating local and international meetings: arrange travel, meeting arrangements, visitor accommodations, as needed

  • Coordinating meeting support to Ensure meeting rooms are properly reserved and managing, logistics such as, catering, and equipment / supply needs.

  • Assisting with special projects as requested by the Executive Directors and others within group, ensuring timely and efficient completion

  • Provide support in ordering office supplies

  • Assist with the onboarding of new staff members

    Basic Qualifications:

  • Associates degree and 2 years of administrative assistance experience OR

2 years in a technical school setting with hands-on experience OR

High school diploma / GED and 4 years of administrative assistance experience

Preferred Qualifications:

Strong skills in Outlook, Excel and PowerPoint

Excellent time management skills, with the ability to meet tight deadlines and manage competing priorities effectively.

Ability to manage multiple tasks and priorities in a fast-paced environment, maintaining a high level of organization and efficiency.

Ability to remain calm and composed under pressure, effectively managing stress and maintaining high performance.

Maintains confidentiality and handles sensitive information with the utmost discretion when dealing with proprietary information

Ability to quickly adapt to changing priorities and demands, maintaining composure and professionalism under pressure.

Experience in an administrative support role, preferably supporting large teams at different levels in a fast-paced, deadline-driven environment.

Extensive experience managing multiple calendars, including coordination across multiple time zones.

Excellent written, verbal, and presentation skills in communicating key business information

Experience providing administrative support to remote staff

Outstanding organizational and interpersonal skills

Ability to handle stress and pressure in a fast-paced environment, maintaining a positive attitude and high performance.

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
