Job Summary:

The Goldfarb Center for Public Affairs is seeking a highly motivated and detail-oriented program and event coordinator to be a part of the team that conceptualizes and executes the Center’s high-impact programs and events. The program and event coordinator finds joy in event management, and has experience with event planning and execution, communication and marketing skills, and an exposure to program coordination, implementation, and/or other forms of administrative support. A visible representative of the Goldfarb Center, the program coordinator has a deep appreciation for the liberal arts college experience and the ability to hold and manage many details while working on deadlines.

This is a 12 month fixed term position.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

In collaboration with other Goldfarb Center staff, coordinate implementation of the Goldfarb Center’s flagship and other events by developing and tracking event project management plans, as well as executing essential project management responsibilities for each event. These project management responsibilities include, but are not limited to, reserving venues, provisioning refreshments, coordinating A/V needs, coordinating guest travel, executing speaker contracts and arranging for payment of honoraria, managing day-of event logistics, and working with other centers and departments on campus to manage cost-sharing agreements for collaborative events

In collaboration with other Goldfarb Center staff, coordinate implementation of the Goldfarb Center’s high-impact programming by executing essential program coordination responsibilities for each of the Center’s program areas. The program coordination responsibilities include, but are not limited to, managing event and communication logistics for the Center’s political discourse program, executing logistical tasks associated with Hill to Hill and other JanPlan programming, organizing calls for proposals for various funding and award programs, coordinating evaluation of proposal reviews, and supporting other members of the Goldfarb team with coordinating additional details and logistics of program execution

Track implementation deadlines for the Goldfarb Center’s annual communications calendar and specific event and program communication campaigns, prompting other Goldfarb Center staff to produce needed content in a timely fashion 

Manage the Center’s centralized digital filing system, ensuring working and legacy documents are organized and accessible to all members of the team.

Support implementation of initiatives, events, and programs designed and driven by the Center’s Faculty Advisory Board

Support implementation of initiatives and events designed and driven by the Center’s Student Advisory Board 

Play an integral coordination role in all aspects of the development and operations of the Goldfarb Center for Public Affairs 

Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice

QUALIFICATIONS:

Bachelor’s degree or the equivalent in education and experience

Minimum 1-3 years of event and/or program management experience

Superior written and oral communication skills required including the ability to write in multiple styles/voices and proactively edit as necessary

Flexibility, excellent attention to detail, initiative, and a results-driven philosophy with the ability to problem-solve required

Unflappable in the face of multiple challenges, highly motivated, disciplined work ethic, a creative approach, and proven abilities to self-direct and work independently

Excellent organizational skills including experience independently overseeing complex projects and programs

Appreciation of Colby’s mission and the ability to effectively communicate it

Discretion and good judgment with confidential information

A positive attitude

Ability to work collaboratively as a member of a diverse community and make an impact in a complex, fast-paced, and team-oriented environment

Willingness and ability to work outside normal working hours

Must be willing to travel; valid driver’s license required and must meet the College’s Fleet Safety Policy requirements

KEY RELATIONSHIPS:

This position will work closely with all members of the Center’s staff. This

position has significant interaction with students, faculty, staff, the public, faculty and staff in other Centers and Departments at Colby, and, occasionally, the community at large.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

This is a 12 month fixed term position.

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary. Some evening and weekend work required. Occasional in-state driving required. Travel out of state may be required.
