Summary/Objective
This role involves providing high-level administrative support to the Executive Director and other leadership staff. Responsibilities include drafting correspondence, conducting research, scheduling meetings, managing communications, maintaining records, and performing basic bookkeeping. The position requires adherence to the company's decision-making protocol and ethical standards. Additionally, the individual must take on assigned projects, self-assign tasks to meet goals, offer suggestions for organizational improvement, communicate effectively across various departments and environments, and perform other duties as needed.

Essential Functions

  1. Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff.

  2. Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.

  3. Conducts research on behalf of leadership staff and provides timely summaries of important information.

  4. Schedules and attends meetings on behalf of executives, taking notes and recording minutes.

  5. Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

  6. Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.

  7. Follows the Company's decision-making protocol and adheres to ethical standards held by the Company.

  8. Take projects and goals as assigned by leadership, self-assign tasks in order to meet those goals, and report updates back to the management team.

  9. Provide suggestions and areas for improvement within the organization.

  10. Able to communicate within different company environments and departments seamlessly, including both a traditional office and a traditional warehouse environment.

  11. Performs other related duties as assigned.

Work Environment

This job operates in a warehouse, preparing and completing warehouse orders for delivery or pickup according to schedule. Performing warehouse inventory controls and ensuring quality standards high for audits.

 

Physical Demands

The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully.  While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.  This position requires the ability to lift office products occasionally and supplies, up to 5 pounds and to bend and stand as necessary.  

 

Position Type/Expected Hours of Work
This is a full-time position and hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m, 39-40 hours per week. Occasional evening and weekend work may be required as job duties demand.

 

Travel

Up to 10% travel. Some local travel will be required.

 



Requirements

Required Education and Experience

  1. For this role, we are not looking for any specific work experience. Instead, we are looking for a 'right-hand' for the leadership team. You are comfortable acting autonomously and understand what team members need at a glance. Some work experience may be helpful, but is not required.

  2. Master's Degree or high achieving accomplishments.

 

Preferred Education & Experience

  1. Experience working as a assistant to leadership.

  2. Experience with Canva or other editing software.

Employee must be authorized to work in the United States and must possess a valid driver’s license.
