If you are an experienced Human Resources professional with an appreciation for the arts and education, Academy of Art University encourages you to apply for our Human Resources Operations Manager position. This challenging role is responsible for the effective and efficient day-to-day operation and administration of the HR department and execution of the mission and goals established by the Vice President of Human Resources. This includes directing and coordinating human resources activities such as employee onboarding and off-boarding, leave of absences, workers’ compensation, ergonomics, workplace safety, compliance, and general HR department administration. The Human Resources Manager will directly supervise several Human Resources team members to achieve operational excellence. This role requires collaboration with management across the University to ensure joint needs on all HR processes, systems and data are met. The desire to work in a fast paced environment as well as the ability to identify opportunities and align partnerships with the organization's goals are the skills the successful Human Resources Operations Manager will possess.

Responsibilities:

Compliance

Maintain familiarity and knowledge of applicable laws and regulations to ensure compliance with all federal, state and local employment laws Oversee compliance with all Labor Law notices and posting requirements on a continuous basis as needed and annually at the beginning of each year Oversee leave of absence and work accommodations programs, ensuring compliance with all local, state & federal laws Oversee health and safety programs including workers’ compensation, ergonomic and Covid-19 safety programs to mitigate company exposure; this includes but is not limited to utilizing the return to work process and partnering with the W/C carrier to assist with case resolution options Oversee the I-9 employment verification process to ensure it is efficient and effective and support with resolution of any non-compliance Manage the University work visa and work authorization processes to include, validation of candidate and employee eligibility for employment, working with an immigration attorney for employment sponsorship, resolving escalated work authorization matters and ensuring proper documentation and public access files Manage all legal and subpoena document requests to ensure a timely and accurate response

Operations

Conduct effective interviews to identify qualified candidates for the Human Resources operational team Train all newly hired team members and conduct continuous training to enable each team member to be successful Provide daily management and oversight of the Human Resources operational team and ensure they are operating effectively, efficiently and in line with established goals and initiatives Identify knowledge gaps within the HR team and effectively resolve with training and development initiatives Oversee all employee and human resources procedures and documentation related to all HR operational areas (leave of absences, workers’ compensation, ergonomics, onboarding, offboarding, employment agreements, employment verifications, I-9’s, labor postings, employee job changes, faculty specific procedures, etc.) and make recommendations for updates and changes to support with efficiency, transparency and compliance Support with the implementation and roll-out of new Human Resources systems and processes Generate and review University employment agreements as needed to support operations Track all fixed-term employment agreements and independent contractor agreements and follow-through with employment termination or approval to renew agreement terms Maintain and update all University Employment Agreement templates (manual and system generated) as approved by the Vice President Manage and respond to all University requests for Human Resources related data, including, headcount, turnover, organizational charts, etc. Effectively document and communicate HR procedures and processes for the entire HR team & other non-HR users when applicable; this documentation and communication must be in a manner that will be consistently and effectively utilized Collaborate with the HRIS Manager to ensure HR system workflows are setup accurately & effectively; partner with the HRIS Manager to ensure HR utilizes technology to eliminate manual processes whenever possible Make recommendations to Vice President regarding Human Resources processes and procedures as necessary to keep pace with industry trends and to improve customer service and effectiveness Participate in developing department goals, objectives and operational work-flow for continuous improvement in efficiency and effectiveness of department and customer service

Qualifications:

A minimum of 5 years progressive HR experience, management experience preferred  Strong working knowledge of labor laws set by governing authorities and organizations, especially San Francisco and California Strong computer skills and experience with HRIS (preferably Workday) Proven ability to understand statistical data and mathematical concepts and how to apply them to HR processes Excellent leadership, training and developmental skills as well as strong decision-making skills Strong attention to detail, excellent verbal and written communication skills with the ability to effectively communicate all levels in the organization Excellent team management and organizational skills Proven ability to manage multiple complex projects simultaneously Candidates that are passionate about customer service, people management, acting as a thought partner building strong partnerships with management and executive teams Solutions-oriented business approach, you are able to identify potential issues and implement solutions that benefit both short and long-term organizational objectives A strategic mindset, you are able to see the and align objectives with organizational goals Ability to thrive in a hybrid work environment working independently on routine and adaptability to changing business requirements A Bachelor's degree in Human Resources, Business Administration or a related field is strongly preferred This is a hybrid position, candidates must be able to work on-site at 79 New Montgomery as needed

Compensation : $75-85k depending on experience
