We are pleased to share that we have an exciting career opportunity for a Receptionist / Administrative Assistant as part a key member our Fort Valley, GA Operations team.

JOB SUMMARY

We are seeking a highly capable Receptionist/Administrative Assistant to enhance the performance of our Fort Valley team. Under the direction and supervision of the Executive Administrative Assistant, you will assist with a variety of clerical and administrative duties.

These tasks include greeting visitors, answering phones, taking messages, managing email and mail correspondence, calendaring as well as ordering and maintaining office supplies and scheduling events. You may also assist with invoicing, updating files, making travel arrangements, supporting expense reporting and coordinating catering and other employee engagement activities.

This role will work to nurture a transparent and compassionate workplace and uphold the values of diversity, equity and inclusion.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Perform general clerical duties and tasks to support the Fort Valley leadership team and visitors Ensure opening and closing protocols - is responsible for all tasks associated with opening and closing the office each day Manage office equipment and supplies – including ordering and maintaining stock Assist all persons (whether in person or by phone) requesting information or contacting a specific team member Serve as the reception point for clients, other Blue Bird personnel, and members of the community, and as such will always serve as a representative of this agency Provide all necessary support to the operation of the agency, including email & written correspondence, travel and expense support, hotel bookings and event coordination (lunches, townhalls, team events) Perform office duties deemed necessary by the Executive Administrative Assistant or member of the LT

KNOWLEDGE, SKILLS AND ABILITIES FOR SUCCESS

Excellent interpersonal & communications skills and be able to multi-task Strong organizational, critical thinking, and interpersonal skills Excellent and accurate keyboarding and document and information management skills Can handle confidential and sensitive information with discretion and grace Ability to plan, prioritize, problem solve, and thrive in a fast-paced environment Must use time well, be punctual, dependable, and self-sufficient; Strong collaboration, communication, and customer service abilities Comfortable exercising independent judgment based on best practices Proficient at: Microsoft Office; Zoom; Concur and other office programs/software Experience working in a fast-paced work environment A willingness to learn

BASIC EDUCATION AND EXPERIENCE REQUIRED

High school diploma Minimum of one (5) years of experience in an administrative support role

PREFERRED EXPERIENCE

Associate Degree preferred
