Job Description

:
With general supervision, responsible for administrative duties of moderate scope and complexity which requires independent judgement and familiarity with applicable procedures.

Responsibilities:
* Following established procedures, perform administrative duties.
* Order entry into ERP systems
* Quote status, follow-up activity and processing
* Purchase order review and processing
* Customer portal management
* Download/upload RFQ"s, Purchase Orders, Execution reports
* Credit/Add Bill processing
* WAWF submissions
* CAVs processing and status updates
* Enter and manipulate data on spreadsheet, data base or file management programs and perform a broad range of typing projects.
* Gather data and perform basic mathematical calculations.
* Collect, prepare, review and distribute documents as required.
* Proofread and correct grammatical, typographical, compositional, or data errors.
* Provide assistance in the administration of assigned activities.
* Conduct inquiries into specific problems, such as delays, to assure objectives are being met.
* Interface effectively with functional departments, teams and customers.
* Screen calls, respond to routine questions and receive and/or escort visitors.
* Maintain accurate and up‐to‐date files and record systems.
* Receive reports and take appropriate action as needed.
* Schedule appointments and make routine travel arrangements.
* Schedule group meetings requiring coordination of travel, meeting room setups, menus and hotel accommodations.
* Maintain confidential records and reports.
* Order stationery and supplies.
* Perform other related responsibilities.

Education and Experience:
* High School Diploma / GED
* 2 years of related office experience or demonstrated ability to perform described responsibilities.
* Ability to accurately type 50 wpm, where applicable.

Skills and Knowledge:
* Personal computer skills
* Fluent in Microsoft Office programs (MS Word, MS Excel, MS Powerpoint, etc.)
* Knowledge of terminology in functional area.
* Effective verbal, written and interpersonal communication skills.
* Ability to work effectively with others and be a participative team player.

Descripción del trabajo:
Con supervisión general, responsable de tareas administrativas de moderado alcance y complejidad que requieren criterio independiente y familiaridad con los procedimientos aplicables.

Responsabilidades:
* Siguiendo procedimientos establecidos, realizar tareas administrativas.
* Entrada de pedidos en sistemas ERP.
* Estado de la cotización, actividad de seguimiento y procesamiento.
* Revisión y procesamiento de órdenes de compra.
* Gestión del portal de clientes
* Descargar/cargar RFQ, órdenes de compra, informes de ejecución
* Procesamiento de crédito/agregar factura
* Presentaciones WAWF
* Procesamiento de CAV y actualizaciones de estado.
* Ingresa y manipula datos en hojas de cálculo, bases de datos o programas de administración de archivos y realiza una amplia gama de proyectos de mecanografía.
* Reunir datos y realizar cálculos matemáticos básicos.
* Recoge, prepara, revisa y distribuye documentos según sea necesario.
* Revisar y corregir errores gramaticales, tipográficos, de composición o de datos.
* Proporcionar asistencia en la administración de las actividades asignadas.
* Realizar investigaciones sobre problemas específicos, como retrasos, para garantizar que se cumplan los objetivos.
* Interactuar efectivamente con departamentos funcionales, equipos y clientes.
* Filtrar llamadas, responder a preguntas de rutina y recibir y/o acompañar a los visitantes.
* Mantener archivos y sistemas de registro precisos y actualizados.
* Recibir informes y tomar las medidas adecuadas según sea necesario.
* Programe citas y haga arreglos de viaje de rutina.
* Programe reuniones de grupo que requieran coordinación de viajes, configuración de salas de reuniones, menús y alojamiento en hoteles.
* Mantiene registros e informes confidenciales.
* Realizar pedidos de papelería y suministros.
* Realizar otras responsabilidades relacionadas.

Educación y experiencia:
* Diploma de preparatoria / GED
* 2 años de experiencia en oficina relacionada o capacidad demostrada para realizar las responsabilidades descritas.
* Capacidad para escribir con precisión 50 palabras por minuto, cuando corresponda.

Habilidades y conocimientos:
* Conocimientos de informática personal.
* Dominio de los programas de Microsoft Office (MS Word, MS Excel, MS Powerpoint, etc.)
* Conocimiento de terminología en el área funcional.
* Habilidades efectivas de comunicación verbal, escrita e interpersonal.
* Capacidad para trabajar eficazmente con otros y ser un jugador de equipo participativo.
