Administrative Coordinator

We're seeking an Administrative Coordinator to support our Sand & Gravel Division, which handles regional hauling operations for aggregate materials.
This position plays a vital role in the day-to-day flow of our business — managing ticket processing, driver tracking, new driver onboarding, and general administrative coordination.
Role Summary
As an Administrative Coordinator, you'll be responsible for keeping our sand and gravel operations organized and efficient. You will manage documentation, assist with billing preparation, and support drivers, owners, and leadership with daily needs.
To succeed in this role, you must have strong emotional intelligence, the ability to work independently and collaboratively (including frequent Zoom communication with teammates), and the professionalism to remain calm under pressure — especially in demanding or high-stress situations that come with transportation and field operations.
Key Responsibilities
- Ticket Processing: Collect, review, and organize daily haul tickets for accuracy and billing readiness.
- Driver Tracking: Maintain driver rosters, update records, and assist in onboarding new drivers.
- Billing Support: Prepare reports and documentation for billing and invoicing.
- Administrative Duties: Handle filing, documentation, communication, and scheduling.
- Operational Coordination: Communicate with dispatch, owners, and field teams to support daily operational flow.
- Process Improvement: Identify inefficiencies and propose solutions to improve documentation and driver coordination.
- Team Collaboration: Participate in daily Zoom or check-in meetings, contributing to updates and progress reports.
Required Skills & Experience
- 2+ years of experience in administrative or operations support (transportation or small business preferred).
- Strong emotional intelligence and ability to manage relationships with drivers, owners, and coworkers effectively.
- Comfortable working independently and in a collaborative, Zoom-based team environment.
- Proven ability to stay organized and calm under pressure, even in fast-paced or high-demand settings.
- Proficient with Microsoft Excel, Google Workspace, and general office systems.
- Excellent written and verbal communication skills.
Preferred Qualifications
- Prior experience in trucking, logistics, or aggregate hauling operations.
- Familiarity with ticketing systems, billing workflows, or driver compliance.
- Bilingual (English/Spanish) is a plus.
Job Type: Full-time
Pay: $ $24.39 per hour
Expected hours: 48 – 55 per week
