Job Summary:

The Administrative Assistants duties and responsibilities include managing various administrative tasks, providing support to the office, greeting visitors and a point of contact for the Houston office. An energetic professional who doesn't mind wearing multiple hats. The Administrative Assistant should be well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Administrative Tasks:

  • Assists with managing miscellaneous day to day in-office administrative tasks.
  • Communicate updates, building events, and changes to team.
  • Distribute mail and incoming packages.
  • Maintain all office supplies and contact Office Manager when supplies are needed.
  • Coordinate with the Office Manager on any furniture items.
  • Coordinate lunch and learns with the technical team.
  • Update TV monitor as needed.
  • Coordinate company events and national days with Office Manager
  • Assist with answering incoming calls professionally and courteously.
  • Provide general support and assistance to visitors.
  • Offer administrative assistance to Project Managers, including:

Documenting meeting minutes Conducting data entry Communication to various Team Members on behalf of Project Manager.

Marketing:

  • Assist with RFQ administrative tasks.
  • Works with vendors to order branded promotional items.
  • Coordinates with the Marketing Operations Coordinator and Marketing Coordinator on gathering tradeshow/conference materials and distributes them between offices.
  • Prints materials needed for internal meetings, client events, and client meetings.
  • Registers team for chapter meetings and sponsorship events that are not tracked in Exhibit Force.

Human Resources

  • Assist with employee recognition program in designated office.
  • Provides job description to interviewee upon arrival.
  • Directs the interviewee to the appropriate interview location and informs the interviewers that they are ready.
  • Prepares all New Hire materials before the first day.
  • Funnels any HR related questions to appropriate HR team member.
  • Other duties as assigned.

Education:

High school diploma required. Some college experience preferred

Experience:

One to three years of relevant experience
