Scope

This position is 75% Administrative/Business Operations and 25% Human Resources.

Working as a Business Administrative Assistant/HR Generalist you will: schedule meetings and conference calls, maintain calendars, files and records, book travel, manage inventory and order supplies, manage expense reimbursement. This role supports numerous Human Resource functions to meet strategic and administrative Human Resource objectives.

Key Responsibilities
  • Acts as a liaison and supports activities locally and nationally, such as coordinating and preparing materials.
  • Monitors department email and assistance lines as needed.
  • Manages several ongoing reports and disseminates materials, adhering to deadlines.
  • Organizes and prepares leadership communications and presentations.
  • Provides documentation and reconciles expenses while monitoring budgets.
  • Manages calendars and tracks PTO
  • Assists in coordinating meetings and conferences, agendas, site locations, and meals with a focus on creativity and expense management.
  • Communicates relevant information to team members such as change in schedule dates, changes in project requirements, and report requests.
  • Maintains files, office supply inventory and orders supplies.
  • Prepares memorandums outlining and explaining administrative procedures and policies.
  • Ensures all Company HR related policies are applied consistently.
  • Ensures compliance with all federal and state laws.
  • Regularly runs and/or reviews HR activity reports.
  • Supports internal customer survey and associate engagement survey interpretation/feedback process.
  • Attends department meetings to increase HR visibility, conducts classroom training, provides assistance and implements HR initiatives.
  • Reviews any request for pay increases or other status changes to ensure internal equity and consistency. Processes status change forms.
  • Prepares, coordinates and presents HR related topics and other HR related training.
  • Acts as the diversity champion by leading assigned tasks and corporate diversity activities including diversity recruiting, retention and promotion goals.
Preferred Qualifications
  • Bachelor’s degree in Business, HR or related field required
  • 5 years of administrative and clerical experience at a large, multi-unit organization required
  • Three years human resources administrative assistant/generalist experience preferred.
  • Ability to demonstrate and maintain a high regard for confidential and sensitive information.
  • Ability to multi-task and establish priorities.
  • Advanced computer skills and experience with MS Office products including Word, Excel, PowerPoint, and Outlook.
  • Familiarity with employment law, policies, procedures, and programs
  • Experience responding to common inquiries or complaints from customers, regulatory agencies or members of the business community.
  • Strong presentation skills required.
  • Training certification a plus (i.e. Zenger-Miller, Stephen Covey, etc.).
