The Executive Assistant (EA) to the President plays a crucial role in supporting the President's daily activities and assisting with cooperative programs. This position involves handling confidential information, providing administrative and clerical support, and coordinating tasks for affiliated entities. The ideal candidate will have a background in the agriculture industry and be skilled in managing diverse and dynamic responsibilities. Please note that this position is 100% onsite in OKC, OK.

Essential Duties and Responsibilities:

  • Assist the President with daily activities, including scheduling, contact management, meeting preparation, and other tasks as requested.
  • Screen and manage all incoming calls and emails for the President, ensuring professional and courteous communication.
  • Organize the President’s activities, including meetings, conference calls, appointments, and other related interests.
  • Coordinate all-team activities, including staff meetings, strategic planning sessions, and retreats.
  • Manage travel arrangements for team members, including booking flights, car rentals, meals, and other travel needs.
  • Develop and maintain the annual budget.
  • Handle confidential information for various affiliated programs with discretion.
  • Accurately maintain the President’s contact lists and manage documents relevant to the office.
  • Lead or assist in special assignments and duties as directed by the President.
  • Perform other work-related duties as assigned.

Job Requirements:

  • Bachelor’s degree in Public Relations, Business Administration, Agricultural Communications, English, or a related field, or equivalent experience required.
  • Knowledge of farming/ranching and experience in the agriculture industry is strongly preferred.
  • Positive, amiable attitude with excellent organizational skills and attention to detail.
  • Ability to work independently and manage time effectively while also contributing to collaborative team efforts.
  • Strong communication skills, with the ability to correspond professionally with the public, vendors, members, and legislative and organizational leaders.
  • Proficiency in Microsoft Word, Outlook, and PowerPoint.
  • Valid driver’s license and willingness to maintain a flexible schedule.

• Applicant must have a minimum of 3 years of experience in an Executive Assistant role or similar
• Proficiency in ADP - Financial Services is required
• Experience with Cisco Webex Meetings for organizing and conducting virtual meetings is necessary
• Familiarity with Concur for managing expenses and invoices is a must
• Proficiency in CRM for managing company's relationships and interactions with customers
• Knowledge of Kronos Timekeeping System for managing workforce is essential
• Familiarity with About Time for mobile resource management is required
• Excellent calendar management skills to organize and schedule meetings and appointments
• Strong communication skills, both written and verbal, are necessary
• Experience in managing conference calls is required
• Ability to handle correspondence with professionalism and discretion is essential
