Job Description:

LHH Recruitment Solutions is looking for a detail-oriented and adaptable Administrative Assistant for a project-based contract role with our client in the Evendale area. Key Responsibilities:

  • Project Support:

    • Provide administrative assistance to project teams, including scheduling meetings, managing project timelines, and coordinating activities.

    • Assist with the preparation and organization of project documents, reports, and presentations.

    • Track project progress and provide updates to stakeholders to ensure that deadlines are met.

  • Data and Documentation Management:

    • Maintain and update project-related records, databases, and filing systems.

    • Perform data entry and assist in creating and maintaining spreadsheets, project trackers, and status reports.

    • Ensure all project documentation is accurate, up-to-date, and readily accessible to team members.

  • Communication and Coordination:

    • Serve as a liaison between different departments, ensuring smooth communication and coordination of project activities.

    • Answer and direct phone calls, handle email correspondence, and respond to inquiries regarding project status.

    • Assist with internal and external communications, including drafting emails, memos, and project updates.

  • Administrative Tasks:

    • Manage office supplies and project materials, coordinating with vendors as needed.

    • Support general office operations, such as filing, scanning, and organizing documents.

    • Assist in coordinating meetings, including booking rooms, preparing agendas, and taking meeting minutes.

Qualifications:

  • High school diploma or equivalent; associate degree or higher in business administration or related field preferred.

  • Previous experience as an administrative assistant, project coordinator, or similar role.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.

  • Excellent organizational skills with a keen attention to detail.

  • Strong communication skills, both verbal and written, with the ability to handle multiple tasks and prioritize effectively.

  • Ability to work independently and adapt to changing priorities in a fast-paced environment.
