Administrative Assistant Job Description

**Job Summary:**

Vaco is seeking a highly organized and self-motivated Administrative Assistant to join our clients expanding organization. The successful candidate will be responsible for delivering top-tier administrative support, welcoming and directing visitors, and efficiently handling phone calls and emails.

**Key Responsibilities:**

* Welcome visitors and provide general assistance as needed.
* Oversee office activities and operations to ensure efficiency and adherence to company policies.
* Conduct clerical tasks, such as filing, phone call management, email responses, and document preparation.
* Monitor incoming and outgoing mail, receiving and signing for mail/packages from couriers, and distributing them to the appropriate recipients.
* Manage schedules, travel arrangements, appointments, and more for upper management.
* Maintain and oversee office equipment, inventory supplies, and procure replacement supplies as required.
* Coordinate building and maintenance issues for general repair and updates.
* Act as a liaison with executive and senior administrative assistants to address requests and inquiries from senior managers.
* Organize special functions and social events.
* Provide administrative support for operations team and assist other departments and colleagues as needed.

**Requirements:**

* At least 2 years of relevant experience in an office environment, with a preference for administrative experience.
