Position Overview

Orlando Health is in search of a committed Sports Partnerships Specialist. This role is pivotal in overseeing the hospitality resources, procedures, and event scheduling for the Orlando Health organization, aimed at enhancing the experience of executives and team members while promoting awareness of the organization's sports and community affiliations.

Key Responsibilities:

  • Oversee ticketing and hospitality management for the organization.
  • Coordinate the sports partnerships calendar and manage event logistics.
  • Administer sports inventory and marketing materials owned by the company.
Location

Orlando, FL

Schedule

Monday to Friday, 9 AM to 5 PM
Evenings and weekends on-call as required

Core Duties

Essential Functions
  • Maintain and execute all hospitality asset inventories for the organization.
  • Arrange catering and food services for hospitality events as necessary.
  • Disseminate informational communications regarding event details prior to events and address inquiries as they arise.
  • Develop, maintain, and share the annual events calendar across shared platforms and internal lists.
  • Track and manage ticketing utilization.
  • Conduct research to identify potential sports partners.
  • Coordinate logistics for events and attend partner events when appropriate.
  • Manage post-event logistics and facilitate debrief sessions with the planning team if needed.
  • Control inventory of event materials, ensuring alignment with brand messaging and prioritization.
  • Oversee the inventory of promotional items and apparel, determining the best items to meet internal and external requests.
  • Facilitate an event planning committee, schedule meetings, and prepare updates for leadership.
  • Collaborate with external agencies to create marketing materials and signage as required.
  • Identify suitable internal physicians and staff for events, coordinating logistics to ensure adequate representation.
  • Maintain budget oversight for ordered items, catering, and other departmental expenditures.
  • Understand the target audience and create engaging activities for attendees.
  • Source and procure branded giveaways based on expected attendance to support sports partner initiatives.
  • Coordinate logistics with event sponsors and other external parties as necessary.
  • Act as the onsite coordinator and liaison between the organization and partners to ensure preparedness.
  • Collaborate with the Sports Partnerships Manager to ensure the success of internal projects, initiatives, and events.
  • Maintain comprehensive knowledge of internal stakeholders, executives, and their support structures.
  • Work with the Sports Partnerships Manager and Sr. Director to proactively assess sponsorships, team member engagement, and community involvement opportunities.
  • Ensure exceptional customer service is provided to both internal and external stakeholders.
  • Maintain regular and punctual attendance in accordance with organizational policies and standards.
  • Adhere to all organizational policies and procedures.
Additional Responsibilities
  • Regularly assess the effectiveness of all assigned events and projects.
  • Engage in professional development through seminars, workshops, and educational resources to stay updated on industry trends.
Qualifications

Education/Training
Bachelor's degree required.

Licensure/Certification
Valid Florida driver's license and must meet insurability standards set by Orlando Health's insurance provider.

Experience
A minimum of two years in a business environment with increasing responsibilities in event coordination and/or ticketing platforms. Proven skills in organization, communication, and facilitation.

Preferred Experience
Experience with ticketing platforms is preferred.
