Key Responsibilities
  • Manage ticketing and hospitality for the organization.
  • Manage sports partnerships calendar and event management.
  • Manage sports inventory and company-owned marketing items.
Essential Functions
  • Maintain and execute all hospitality asset inventory for the organization.
  • Arrange for catering and food services for all hospitality events when applicable.
  • Send out informational emails with event day details ahead of events and answer questions when they arise.
  • Develop, maintain, and communicate the annual calendar of events on both the shared calendar and internal lists.
  • Develop and maintain ticketing utilization count.
  • Conduct research for potential sports partners.
  • Coordinate all day-of logistics and attend partner events when appropriate.
  • Coordinate all post-event logistics. Schedule and facilitate post-event debrief with the planning team if applicable.
  • Control the inventory of event materials such as banners and displays. Determine material that will best support the brand message and assign inventory based on priority.
  • Control and maintain the inventory of jerseys, polos, and swag items. Determine items that will best support internal and external requests.
  • Facilitate an event planning committee, schedule committee meetings, and prepare updates for leadership.
  • Coordinate outside agencies to develop collateral, marketing items, and signage as required.
  • Identify appropriate internal physicians and staff for events. Coordinate logistics and scheduling to ensure there is sufficient representation at the event.
  • Maintain budget on ordered items, catering, and other necessary spend for the department.
  • Understand the target audience and develop creative activities to engage attendees.
  • Sources and purchases branded giveaways based on expected attendance in order to support sports partner initiatives.
  • Coordinate logistics as necessary with event sponsor and other outside parties.
  • Serve as onsite coordinator and liaison between the enterprise and the partner to ensure team is prepared.
  • Coordinate with the Sports Partnerships Manager to ensure internal projects, initiatives, and events are successful.
  • Maintain extensive knowledge of internal stakeholders, executives, and their EA structure.
  • Collaborate with Sports Partnerships Manager and Sr. Director to proactively evaluate sponsorships, team member engagement, and civic opportunities for Orlando Health to engage in the community.
  • Ensure excellent customer service with internal and external stakeholders.
  • Maintain reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA, and other federal, state, and local standards.
  • Maintain compliance with all Orlando Health policies and procedures.
Other Related Functions
  • Regularly evaluate the effectiveness of all assigned events and projects.
  • Maintain growth and development through seminars, workshops, software education, and publications to keep abreast of trends in the field.
Qualifications
  • Bachelor's degree.
  • Valid Florida driver's license and must be insurable under the Orlando Health insurance carriers' requirements and standards.
  • Two (2) years of experience in a business environment with increasing responsibility for coordinating events and/or ticketing platforms.
  • Proven organizational, communication, and facilitation skills.
  • Ticketing platform experience - preferred.
