Job Summary

We are seeking a highly organized and detail-oriented Correspondence Representative to join our Patient Accounting team at Tri-City Medical Center. As a key member of our team, you will be responsible for managing all aspects of incoming correspondence and insurance documents, ensuring timely and accurate processing and scanning of documents, and providing exceptional customer service to patients and insurance companies.

Key Responsibilities
  • Efficiently handle, process, and scan incoming documents, adhering to Correspondence Distribution and Scanning department procedures.
  • Manage and complete daily, monthly, and quarterly tasks, including processing self-pay monthly statements, mailing and follow-up on institutional accounts, processing bad debt agency returns, Charity processing, and internal/external audit projects.
  • Update information received from external agencies for patients who have been identified as having insurance or recently obtained Medi-Cal, ensuring all accounts are appropriately billed correctly and timely.
  • Assist with educating team members to facilitate an efficient flow of operations and projects.
  • Maintain and coordinate storage records, including ordering and returning of records, labeling storage boxes, and maintaining log books.
  • Update new or corrected address information when notified by vendors or agency.
  • Assist in various aspects within the Support Services team as needed.
Requirements
  • Requires at least one-year experience in a healthcare environment.
  • Able to perform basic mathematical calculations, balance, and reconcile numbers.
  • Must have the ability to read, understand, and interpret healthcare correspondence.
  • Requires Microsoft Word, Excel, and Outlook knowledge.
  • Excellent human relations skills, including listening, conflict resolution, coaching, and team building.
  • Must have ability to demonstrate flexibility in response to unexpected change in work volume and hospital staffing needs.
  • Process-oriented skills with ability to handle multiple projects simultaneously by prioritizing responsibilities and meeting deadlines.
  • Ability to ensure the confidentiality and rights of patients and the confidentiality of hospital and departmental documents.
  • Ability to speak Spanish, preferred.
Education
  • High School diploma or GED, required.
