Baird Advisors is on the lookout for an Investment Portfolio Management Associate to enhance our team. This position entails advanced administrative responsibilities and vital office support for our team, particularly the Senior Leadership Team. This role requires a candidate who is adaptable to various tasks and eager to contribute to gain valuable experience and advance within the team.

In this capacity, you will collaborate with different team members, engage with various Baird departments, and support both clients and community partners. We seek a highly professional, organized, and motivated individual who can anticipate needs and exhibit strong judgment and problem-solving abilities in real-time. Attention to detail and the capacity to independently plan and prioritize tasks in a dynamic environment are crucial. As an Investment Portfolio Management Associate, your responsibilities will include:

  • Executing advanced and proactive administrative tasks in support of the Baird Advisors team and specifically the Senior Leadership Team.
  • Utilizing technology to discover the most efficient and effective methods to complete work.
  • Assisting with the scheduling and preparation of client meetings, including coordinating schedules, securing meeting spaces, and making all necessary arrangements.
  • Monitoring team communications throughout the day, highlighting urgent matters that require immediate attention.
  • Managing intricate travel arrangements and accommodations, including preparing and reviewing itineraries and handling changes on short notice.
  • Preparing and submitting expense reports.
  • Providing phone coverage across the team as needed.
  • Acting as the primary liaison with external community partners to coordinate schedules, arrange meetings, and potentially organize events.
  • Planning and executing internal team-building activities.
  • Delivering exceptional client service and nurturing strong client relationships.
  • Maintaining the utmost confidentiality regarding all departmental matters.
  • Performing various other duties as assigned.

What we seek:
  • A bachelor's degree is preferred.
  • 5+ years of administrative experience, preferably at the executive level.
  • Experience in a professional services or investment-related firm is preferred.
  • Ability to handle highly confidential information is essential.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Comfort with various virtual technologies, including Zoom, MS Teams, and WebEx, with the ability to troubleshoot basic technical issues.
  • Excellent verbal and written communication skills, demonstrating a professional, courteous, and positive demeanor.
  • Exceptional organizational skills and attention to detail.
