Job Summary:

The Texas Department of Aging & Disability Services is seeking a highly skilled Administrative Support Specialist III to provide advanced clerical and general office support to the Program Directors of the Child Protection Investigation (CPI) Division. The ideal candidate will have excellent organizational and communication skills, with the ability to work independently in a fast-paced environment.

Key Responsibilities:
  • Provide administrative support to Program Directors, including data entry, case tracking, and report preparation.
  • Manage program-related data entry and case tracking information into IMPACT, including maintaining on-call schedules, reviewing, routing, and logging courtesy requests and case transfers.
  • Answer and screen telephone inquiries, manage client questions or complaints, and take and route messages.
  • Process incoming and outgoing mail, and maintain confidential program-related documents.
  • Utilize technology to maximize program efficiency and effectiveness, including accessing applications to reserve conference and visitation rooms for meetings.
  • Oversee supply inventory and create purchase orders as necessary to ensure adequate supplies for all staff in the office.
  • Assist with switchboard operations, notarizing legal documents, and train new admins as needed.
Requirements:
  • Knowledge of office practices and administrative procedures.
  • Excellent verbal and written communication skills.
  • Ability to work independently in a fast-paced environment.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to effectively handle and prioritize multiple assignments.
  • Ability to operate basic office equipment.
  • Ability to communicate in a courteous and professional manner.
Working Conditions:

The Administrative Support Specialist III will work in a dynamic and fast-paced environment, with occasional need to work outside of regular business hours to complete reports and other tasks. The ideal candidate will be able to work independently and make sound judgments in a variety of situations.
