Job Summary

Key Responsibilities
  • Answer multi-line telephone system, take accurate messages, and screen and direct telephone calls for management in a professional manner.

  • Process incoming and outgoing mail on a daily basis, distributing mail to all employees.

  • Compose, prepare, and proofread correspondence, office emails, or memos, and maintain confidentiality when required.

  • Design and implement forms for use within the office by applying knowledge of software applications and update as needed.

  • Create and maintain proper response letters on computer for various incoming correspondence.

  • Maintain files in an organized and accessible manner, including closing and scanning files.

  • Provide administrative support and help when needed or requested.

  • Report inventories to the Office Manager and order office supplies and equipment as directed.

  • Operate standard office equipment efficiently, including multi-line telephone, computer with printer, photocopy machine, fax/scan to email, calculator, and email.

Requirements

The ideal candidate will possess excellent communication and organizational skills, with the ability to work independently and as part of a team. Proficiency in software applications and office equipment is essential.
