Administrative Coordinator

SWAYSLAND PROFESSIONAL ENGINEERING is seeking an organized and proactive Administrative Assistant to support our team. This role is ideal for someone with a strong administrative background and a desire to work in a fast-paced engineering environment.
The successful candidate will play a key role in ensuring the smooth operation of our office and supporting our engineering team. Responsibilities include:
- Managing and coordinating administrative tasks, including scheduling meetings and preparing documents.
- Assisting with project documentation, including organizing and maintaining files and records.
- Preparing and processing invoices, purchase orders, and expense reports.
- Providing support for client interactions, including scheduling meetings and handling inquiries.
- Assisting with office management tasks, such as ordering supplies and maintaining office equipment.
- Supporting various projects and tasks as needed, with the potential for increased responsibilities over time.
Qualifications include:
- Proven experience in an administrative role, preferably in an engineering or technical environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong organizational and time-management skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively in a fast-paced environment.
- Flexibility to adapt to changing priorities and handle multiple tasks.
- Bi-lingual is a plus (English/Spanish).
- Familiarity with project management software.
- Reliable transportation.
