Position Title: Client Support Specialist

Department: Pension and Annuity Services

FLSA Status: Non-Exempt

Reports to: Supervisor of Pension and Annuity Services

Role Summary

The Client Support Specialist is tasked with delivering exceptional service to plan participants, trustees, and financial professionals associated with pension and annuity funds, adhering to the established guidelines and regulations.

Essential Skills and Qualifications

  • Typing speed of 45 WPM
  • Proficient in Microsoft Office Suite, including Word and Excel
  • Strong mathematical abilities
  • Excellent verbal and written communication skills
  • Professional telephone manners
  • Ability to manage multiple tasks effectively
  • Strong organizational capabilities
  • High School Diploma or equivalent
  • Minimum of one year in customer service or related experience

Key Responsibilities

· Address inquiries from participants via phone, mail, or in-person visits

o Generate and send estimation letters

o Distribute income verification letters

· Respond to queries from fund professionals and trustees

· Maintain participant records

o Update contact information

o Revise demographic details

· Prepare documentation for processing

o Keep status reports current

o Review incoming benefit applications

o Verify documents and follow up as necessary

o Request employment verification as needed

· Manage incoming correspondence

o Process retiree changes

o Organize daily mail distribution

· Conduct annual affidavit processing

o Maintain and update participant lists

o Follow up on outstanding requests

Additional Responsibilities

· Undertake projects as assigned by the department supervisor

· Assist with certified mail return receipts

· Participate in lunchroom maintenance as needed

· Provide relief for reception duties as required

Physical Requirements

· Ability to lift and transport file boxes within the office environment

· Adjust file cabinet drawers as necessary

Work Environment

· Office setting with air conditioning.

Work Schedule

· Standard hours from Monday to Friday, 8:30 AM to 4:30 PM, with a one-hour unpaid lunch break.

· Responsibilities may occasionally require overtime.
