Job Overview

Position: Office Manager - University Women's Specialists

The University Physicians' Association is in search of a qualified candidate for the role of Office Manager. This pivotal position involves overseeing and directing the operational functions of the practice. The Office Manager ensures compliance with organizational policies while facilitating effective communication among team members regarding practice operations.

Key responsibilities include:

  • Operational Leadership
    Directing daily operations, including staffing, growth initiatives, financial performance, and customer service excellence.
  • Human Resource Management
    Providing training, evaluation, and supervision of office staff while fostering a collaborative team environment.
  • Financial Oversight
    Managing accounts payable and ensuring practice expenditures align with budgetary constraints.
  • Billing and Coding Supervision
    Overseeing billing processes and acting as a liaison between physicians and the central billing office.
  • Schedule Coordination
    Preparing provider schedules and coordinating daily staff assignments.
  • Payroll Administration
    Submitting employee time records and monitoring overtime to ensure compliance with organizational policies.
  • Compliance and Risk Management
    Ensuring adherence to all relevant regulations and conducting annual safety reviews.
  • Personnel Management
    Managing human resource activities, including hiring decisions and employee training.
  • System Evaluation
    Analyzing practice systems to enhance efficiency and identify opportunities for improvement.

Qualifications:

  • Proficiency in Excel and spreadsheet applications.
  • Knowledge of patient billing processes is essential.
  • Prior experience in physician office management is required.
  • Experience in OB/GYN practices is advantageous.
  • Strong analytical skills to define problems and draw valid conclusions.
