Executive Administrative Coordinator

We are seeking a highly skilled and organized Executive Administrative Coordinator to join our team at HyperCare Management LLC. This is a full-time position that requires excellent communication, technical, and problem-solving skills.
The successful candidate will be responsible for providing administrative support to the Director of Finance and other finance department employees, including spreadsheet management, travel arrangements, expense reporting, and document storage/retrieval. Additionally, they will serve as a backup administrator for various platforms and applications.
Key Responsibilities:
- Assist the Director of Finance with coordinating meetings and other tasks as assigned.
- Support projects, roll-outs, and grants as needed.
- Manage SAP Concur, Bank of America, and Amazon Business Prime administration.
- Retrieve invoices from the document management system for various projects.
- Download and save company card holder statements.
- Maintain a log of credit limits, increases, decreases, and delinquent expense reports.
- Facilitate credit card increase requests.
- Research declines and transactions.
- Obtain signatures for various documents and distribute them accordingly.
- Perform various filing, mail management, and communication distribution tasks as needed.
- Maintain the office supply inventory at an appropriate level and order additional supplies when necessary.
- Work on spreadsheets with the executive team as assigned.
- Request postage as needed and maintain the updating process of the postage machine.
- Order supplies for the kitchen and bathrooms and maintain an orderly kitchen environment.
Requirements:
- Proficient in Microsoft applications.
- Ability to communicate effectively with management, employees, and visitors.
- Skilled in the use of computers and the Microsoft Office suite of applications.
- Ability to be accurate, concise, and detail-oriented.
- Ability to maintain confidentiality of all information.
- SAP Concur experience is a plus.
- An active notary commission for Kentucky or willingness to obtain one is a plus.
Compensation: The estimated salary for this position is $45,000 - $60,000 per year, depending on experience and qualifications.
