Job Overview

The Advancement Operations Specialist plays a crucial role in collaborating with various departments to oversee data management and monitor key performance indicators (KPIs). This position involves generating comprehensive reports on fundraising activities and donor interactions to ensure transparency and accountability. The specialist is also responsible for maintaining the donor database, assisting in event organization, and providing training to team members on relevant tools. Their dedication to compliance and strategic planning is vital for accurate reporting and achieving the organization’s fundraising objectives.

Key Responsibilities

Fundraising Reporting:

  • Work closely with the Advancement, Finance, and Operations teams to input necessary data into the Advancement dashboard.
  • Monitor KPIs for the Advancement department to assess performance.
  • Generate and share weekly and monthly updates on fundraising efforts, donor engagement, and other significant metrics with internal stakeholders.
  • Compile and deliver detailed monthly reports for external partners, including major donors and corporate sponsors, ensuring clear communication regarding fund utilization.
  • Examine data trends and offer actionable recommendations to enhance fundraising strategies and operational efficiency.

Database Oversight:

  • Ensure the donor database is maintained with accurate and timely data entry.
  • Conduct data analysis and generate reports to support fundraising initiatives.
  • Record all assigned goals, acquisition targets, stewardship plans, and budgetary objectives in the database.
  • Communicate updates regarding the database to relevant teams.
  • Process all contributions in the donor database and provide daily updates to the accounting department.
  • Prepare, print, and send all donor acknowledgment letters.

Advancement Support Activities:

  • Assist in the coordination of events, including planning and execution.
  • Facilitate donor and partner engagement activities such as supply drives and volunteer events.
  • Provide training on systems and processes to ensure effective use of database and reporting tools among team members.

Administrative Compliance:

  • Complete all necessary reports and administrative tasks punctually.
  • Gather and manage required data for both internal and external reporting.
  • Adhere to all administrative policies and procedures.
  • Ensure timely and accurate completion of paperwork, reports, and data entry.
  • Utilize communication tools effectively and regularly.
Qualifications

Education and Experience:

  • High School Diploma or equivalent.
  • At least 3 years of experience in database management and data analysis.
  • Experience in administrative or clerical roles.

Minimum Skills:

  • Ability to work during regular business hours, including occasional evenings and weekends.
  • Strong analytical skills with the capability to interpret complex data.
  • High attention to detail and accuracy.
  • Ability to set and achieve goals independently and efficiently.
  • Excellent written and verbal communication skills.
  • Proficient typing and administrative skills.
  • Strong organizational skills to manage multiple tasks effectively.
  • Proficiency in Microsoft Office Suite and Google Drive.
  • Must pass background checks and drug screenings as required.
  • Reliable transportation and valid driver's license are necessary.
  • Experience with data entry and familiarity with databases.

Preferred Qualifications:

  • Bilingual capabilities.
  • Bachelor's Degree in Data Analytics, Computer Science, or a related field.
  • Experience in fundraising or non-profit sectors.
  • Knowledge of donor prospecting and research.
  • Familiarity with the Boys & Girls Club Movement is advantageous.
  • Prior experience with Raiser's Edge or similar software is a plus.
