Job Overview

The Advancement Operations Specialist plays a crucial role in partnering with Finance and Operations to oversee data management and monitor key performance indicators (KPIs). This position is essential for generating comprehensive reports on fundraising efforts and donor interactions, ensuring transparency and accountability. The specialist is responsible for maintaining and enhancing the donor database, facilitating event organization, and providing training to team members on various tools. Their dedication to compliance and strategic planning is vital for delivering accurate and timely reports, ultimately supporting the organization's fundraising objectives.

Key Responsibilities

Reporting and Analysis:

  • Work collaboratively with the Advancement, Finance, and Operations teams to input necessary data into the Advancement dashboard.
  • Monitor and report on key performance indicators (KPIs) relevant to the Advancement department.
  • Generate and distribute weekly and monthly updates on fundraising achievements, donor engagement, and other significant metrics to internal stakeholders.
  • Compile and present detailed monthly reports for external stakeholders, including major donors and corporate sponsors, ensuring transparency in fund utilization.
  • Analyze data trends to provide actionable recommendations for enhancing fundraising strategies and operations.

Database Oversight:

  • Ensure the donor database is accurately maintained, with timely and precise data entry and updates.
  • Conduct data mining and generate reports to support fundraising initiatives.
  • Record assigned goals, acquisition targets, stewardship plans, and budget objectives accurately in the database.
  • Communicate database updates effectively to the Advancement, Finance, and Operations teams.
  • Process all contributions in the donor database and provide daily updates to accounting.
  • Prepare, print, and send all donor acknowledgments.

Event Coordination:

  • Assist in the planning, organization, and execution of events.
  • Facilitate donor and partner engagement activities, including supply drives and volunteer events.
  • Deliver training on systems and processes to ensure team members effectively utilize database and reporting tools.

Administrative Compliance:

  • Complete all necessary reports and administrative tasks punctually.
  • Gather and manage required data for internal and external reporting.
  • Adhere to all administrative policies, procedures, and controls.
  • Ensure timely and accurate paperwork, reports, and data entry.
  • Utilize communication tools effectively and regularly.
Qualifications

Education and Experience:

  • High School Diploma or equivalent.
  • At least 3 years of experience in database management and data analysis.
  • Experience in administrative or clerical roles.

Minimum Skills:

  • Ability to work standard business hours, including occasional evenings and weekends.
  • Strong analytical skills with the capability to interpret complex data.
  • High level of accuracy and attention to detail.
  • Self-sufficient with the ability to set and meet deadlines.
  • Effective communication skills, both written and verbal, with a solid understanding of English composition and business correspondence.
  • Proven ability to plan, implement, and evaluate projects.
  • Efficient typing and administrative skills.
  • Strong organizational skills to manage multiple tasks effectively.
  • Proficiency in Microsoft Office Suite and Google Drive.
  • Must pass background and drug screenings as required.
  • Reliable transportation and valid driver's license are necessary.
  • Experience in data entry and familiarity with databases.

Preferred Qualifications:

  • Bilingual capabilities.
  • Bachelor's Degree in Data Analytics, Computer Science, or a related field.
  • Experience in fundraising or non-profit sectors.
  • Knowledge of donor prospecting and research.
  • Familiarity with the Boys & Girls Club Movement is advantageous.
  • Previous experience with Raiser's Edge or similar software is a plus.
