Position Overview:

PRIMARY DUTIES:


With limited oversight, provides comprehensive administrative assistance to a Chair or Assistant Dean within an academic or research division, or to an Assistant Vice President or Assistant Vice Provost (and higher).

Manages office functions and ensures compliance with institutional policies and procedures.

Prepares or aids in the creation of budgets, grant submissions, proposals, status updates, and financial documents.

Develops and sustains spreadsheets for tracking and reporting.

Initiates, processes, and maintains records and invoices efficiently.

Keeps the supervisor informed about account statuses, authorizes expenditures, and identifies cost-effective solutions.

Maintains the calendar, organizes daily agendas, and prioritizes meeting requests for the supervisor(s).

Ensures the supervisor is well-prepared for daily engagements.

Coordinates, participates in, prepares materials for, and/or records minutes during meetings and special events.

Creates charts and graphs for reports and presentations.

Reviews incoming communications and identifies items of particular interest to the supervisor or others.

Filters items that can be routinely addressed and prepares suitable responses.

Based on an understanding of the supervisor's preferences, drafts, edits, and types correspondence, reports, and manuscripts with minimal guidance.

May take dictation or transcribe from audio recordings.

Maintains various databases and/or spreadsheets for efficient data management.

Establishes and organizes filing systems.

Answers, screens, and directs incoming phone calls.

May oversee or guide the work of other administrative support staff.

Manages the ordering and upkeep of office supplies and forms.

May coordinate travel arrangements, both domestic and international.

Performs related duties as necessary.

ESSENTIAL QUALIFICATIONS:


A high school diploma or equivalent, along with six years of secretarial or administrative support experience, OR a bachelor's degree with one year of administrative support experience.

Proficient in word processing, spreadsheet, and presentation software applications.

NOTE:

This position offers the flexibility to work from home regularly, but the individual must be able to commute to Emory University on a flexible weekly schedule based on business requirements (reporting to the office 2 to 3 days per week). The schedule will adhere to the agreed-upon guidelines of the department. This role requires residency in the state of GA. Emory reserves the right to modify remote work status with notice to the employee.
