Job Summary

We are seeking an experienced Administrative Assistant to provide administrative support for various programs and departments at Emory University. The successful candidate will be responsible for providing exceptional support to management, ensuring office activities comply with Emory policies and procedures, and maintaining calendars and prioritizing meeting requests.

Key Responsibilities
  • Provide administrative support for various programs and departments, including general management, research environments, and specific programs.
  • Ensure office activities comply with Emory policies and procedures.
  • Maintain calendars and prioritize meeting requests for management.
  • Respond to incoming correspondence and identify items of special interest to management.
  • Handle routine correspondence and prepare appropriate responses.
  • Complete forms, grant applications, and/or correspondence associated with programs.
  • Prepare charts and graphs for reports and presentations.
  • Create and edit scientific, programmatic, or other reports associated with department's primary business.
  • Schedule meetings and handle logistics for meetings and special events.
  • Prepare materials for meetings and special events.
  • Initiate, process, and maintain records and invoices.
  • Keep management apprised of account status and identify cost-effective solutions.
  • May monitor or maintain budgets and grants, assist with budget development, and prepare related expense reports and reimbursements.
  • Plan and coordinate travel arrangements.
  • Maintain databases and spreadsheets, and analyze data and design/generate associated reports.
  • Establish and organize files and documents.
  • Oversee ordering and maintenance of office supplies.
  • May supervise or direct the work of support staff and/or students.
Additional Responsibilities
  • Fills the gaps to assist the program coordinator with implementing certain aspects of the program.
  • Responsibilities will include: scheduling meetings and handling logistics for meetings and special events, including the weekly academic seminars.
  • Preparing materials for meetings and special events.
  • Initiating, processing, and maintaining records and invoices.
  • Monitoring or maintaining budgets, assisting with budget development, and preparing related expense reports and reimbursements.
  • Planning and coordinating travel arrangements.
  • Overseeing ordering and maintenance of office supplies.
  • May supervising or directing the work of students.
Requirements
  • Bachelor's degree or equivalency of a high school diploma and five years of administrative experience.
  • Proficiency with Microsoft Office, including Outlook, PowerPoint, and Excel.
  • Experience with collaboration tools, such as OneDrive, Zoom, Teams, and/or others.
