Job Summary:

As a key member of the Northwestern University team, the Senior Administrative Specialist will serve as the administrative lead for a central office, providing strategic support to the supervisor and departmental staff. The ideal candidate will possess excellent organizational, communication, and problem-solving skills, with the ability to work independently and as part of a team.

Key Responsibilities:
  • Develop and implement administrative systems and procedures to improve workflow, simplify reporting, and reduce costs.
  • Prepare materials, records minutes, and coordinate travel arrangements for university Board meetings.
  • Provide support and build relationships with various constituencies across Northwestern, including the Office for Research, President and Provost Office, and Global Marketing.
  • Develop and maintain multiple spreadsheets, databases, and reports to track departmental activities and performance.
  • Oversee the development and implementation of print and online publications to meet the needs of the targeted community.
  • Administer budgets and expenditures for the department, program, or project, ensuring adherence to approved budgets and resolving discrepancies.
  • Supervise and coordinate HR actions, including hiring, onboarding, and termination, ensuring effective and efficient sourcing and onboarding of department staff and faculty.
  • Manage complex calendars, conceptualize and organize events, and develop marketing pieces to promote departmental activities.
Requirements:
  • A high school diploma or equivalent required.
  • 6 years of administrative support or other relevant experience required.
  • Advanced knowledge of word processing, spreadsheet, PowerPoint, email, and database software programs required.
