Job Summary

As an Administrative Specialist Lead at Northwestern University, you will serve as the administrative lead for a central office, working closely with the supervisor to develop objectives and create timelines and tasks associated with various functions, including marketing, promotion, communication, finance, HR, reporting, record control, compliance, and more. You will analyze administrative operating practices to create new systems and revise established procedures to better meet goals and objectives.

Key Responsibilities
  • Documents & Databases: Ensure the creation of necessary documents, including drafting proposals and presentations, and develop and maintain multiple spreadsheets and databases.
  • Website: Oversee the development, implementation, and maintenance of print and online publications, coordinate website construction, organization, and content, and create photo galleries.
  • Accounting: Administer budget and expenditures for the department, program, or project, coordinate budget submission, monitor approved budget, and ensure adherence.
  • Human Resources: Supervise and coordinate the administration of all HR actions from hiring to termination, ensuring effective and efficient sourcing and onboarding of department staff and faculty.
  • Coordination: Manage the supervisor's and department's complex calendar, conceptualize and organize events, and develop marketing pieces.
Requirements
  • A high school diploma or equivalent is required.
  • 6 years of administrative support or other relevant experience is required.
  • Advanced knowledge of word processing, spreadsheet, PowerPoint, email, and database software programs is required.
