POSITION SUMMARY

The Catering and Marketing Event Manager is responsible for the planning and execution of special events that support the Unconventional Kitchen, an external catering service. This role serves as the key liaison between the culinary team and clients, ensuring exceptional customer experiences throughout the catering process.

As the representative of both the Unconventional Kitchen and the Vincentian mission, the Catering and Marketing Event Manager must exhibit outstanding professionalism and communication skills in all interactions. The ideal candidate will possess the ability to understand client needs, even when not explicitly stated, and provide tailored recommendations that exceed expectations. A strong focus on relationship management is essential for converting inquiries into successful sales.

This role requires a detail-oriented and organized individual who can manage the entire customer experience and operational logistics for catering and events. Responsibilities include developing processes, workflows, and checklists to ensure seamless execution of events. The Catering and Marketing Event Manager must balance strategic planning with meticulous attention to detail, ensuring that all objectives are met effectively.

Continuous improvement is a key aspect of this position, as the Manager will actively seek and incorporate feedback to enhance services and processes. Proficiency in various technology platforms to enhance customer experience is essential, along with a creative eye for visually appealing presentations and marketing materials. A proactive approach to anticipating industry trends and positioning Vincentian for financial success is critical.

KEY RESPONSIBILITIES:

EVENT MANAGEMENT

  1. Oversee all aspects of catering requests and events, ensuring timely and professional communication with clients and vendors.
  2. Deliver high standards of customer service, collaborating with clients to create memorable experiences.
  3. Manage event logistics, including inventory, staffing, and billing, while maintaining quality control over supplies and equipment.
  4. Work with the culinary team to determine menu options and pricing that align with customer preferences.
  5. Coordinate staffing needs and schedules to ensure exceptional service during events.
  6. Collaborate with other departments to provide a seamless customer experience.
  7. Provide hands-on support during events, including setup and breakdown as needed.
  8. Assist with internal events hosted by Vincentian across various locations.
  9. Support the daily operations of Unconventional Kitchen event spaces.

SALES & MARKETING

  1. Act as the public representative of Unconventional Kitchen catering, promoting the brand and mission effectively.
  2. Identify and implement customer engagement strategies to enhance brand loyalty.
  3. Assist in marketing campaigns to inform customers of offerings and initiatives.
  4. Stay informed on industry trends and maintain a professional network.
  5. Collaborate with departments to enhance service offerings for customers.
  6. Ensure service standards are met or exceeded, utilizing feedback for continuous improvement.
  7. Achieve performance metrics and compile sales reports regularly.

ADMINISTRATIVE DUTIES

  1. Serve as the liaison between clients and the culinary team, providing updates on events and staffing needs.
  2. Participate in sales and marketing meetings to align strategies.
  3. Develop policies and procedures for catering and events in collaboration with management.
  4. Recruit and train event staff to ensure high-quality service.
  5. Assist in budget development and adherence for events and catering.
  6. Maintain detailed records for all catering events and vendor contracts.
  7. Oversee billing procedures and ensure compliance with regulatory standards.
  8. Supervise staff and ensure adherence to policies and procedures.
  9. Conduct training and orientation for new employees.
  10. Collaborate with HR on recruitment and staff development initiatives.

QUALIFICATIONS:

  1. Bachelor's degree in Business Administration, Marketing, Hospitality Management, or a related field.
  2. Food handlers card required within the first month of employment.
  3. Minimum of three years of experience in event planning or catering sales.
  4. Experience in supervising event staff.
  5. Valid driver's license required.
  6. Strong knowledge of human resource laws and best practices.
  7. Excellent communication and customer service skills.
  8. Ability to manage multiple tasks and work under pressure.
  9. Proficient in MS Office and adaptable to new software.
  10. Physical ability to stand for extended periods and lift up to 50 pounds.
