POSITION SUMMARY

The Catering and Marketing Event Manager is responsible for planning and executing special events that support the Unconventional Kitchen, an external catering service, as well as internal events within the organization. This role acts as the main point of contact between the culinary team and clients, ensuring exceptional customer experiences throughout the entire process of catering orders and events.

As a representative of both the Unconventional Kitchen and the organization’s mission, the Catering and Marketing Event Manager must exhibit outstanding professionalism and communication skills in all interactions. The ability to understand client needs, even when not explicitly stated, and to provide tailored recommendations that delight customers is essential. The ideal candidate will be personable and focused on building relationships, effectively converting inquiries into sales.

This position requires a blend of customer focus and organizational skills, as the manager will oversee the entire customer journey and ensure operational success for all catering and events. Responsibilities include developing processes, workflows, standards, and documentation necessary for smooth execution. The Catering and Marketing Event Manager must balance strategic thinking with attention to detail, creating plans that align with key objectives and uphold high standards of excellence.

The role involves continuously gathering and incorporating feedback to enhance offerings and processes. Proficiency in various technology platforms to improve customer experiences is crucial. A flair for creating visually appealing presentations and marketing materials is advantageous. A proactive approach to anticipating needs and industry trends will be vital for optimizing the financial performance of this significant business segment.

EVENT MANAGEMENT

  1. Manage all facets of catering requests and events, from small orders to full-service catered experiences, ensuring timely and professional communication with clients, staff, and vendors.
  2. Deliver exceptional customer service by collaborating with clients and staff to create memorable experiences.
  3. Oversee logistics, inventory, and supplies for events, including staffing, scheduling, setup, and cleanup.
  4. Work with the culinary team to finalize menu options and pricing, ensuring offerings align with customer preferences.
  5. Coordinate staffing needs and schedules to ensure excellent service delivery at all events.
  6. Collaborate with other departments to ensure a seamless experience for all clients.
  7. Provide hands-on support during events, including setup and teardown as needed.
  8. Assist in planning and executing internal events across various organizational locations.
  9. Support the day-to-day operations of all event spaces and equipment.
  10. Travel to various locations as required for client engagements.

SALES & MARKETING

  1. Act as the public representative of the catering services, maintaining a professional image in all communications.
  2. Identify and implement strategies to engage new and existing customers, enhancing brand loyalty.
  3. Assist in marketing campaigns to inform clients about new offerings and initiatives.
  4. Stay informed about industry trends and maintain a professional network.
  5. Collaborate with departments to enhance service offerings for clients.
  6. Ensure service quality standards are met, utilizing feedback for continuous improvement.
  7. Meet established performance metrics regularly.
  8. Compile weekly reports on sales and marketing activities.

ADMINISTRATIVE DUTIES

  1. Serve as the liaison between clients and the culinary team, providing updates on events and needs.
  2. Participate in regular team meetings to discuss catering and event requests.
  3. Develop policies and procedures for catering and events in collaboration with management.
  4. Recruit and train event staff to ensure high-quality service.
  5. Assist in managing the annual budget for events and catering.
  6. Maintain detailed records for all catering and events, including contracts and correspondence.
  7. Generate reports for management as needed.
  8. Oversee billing procedures for events and catering.
  9. Ensure compliance with all regulatory standards and organizational policies.
  10. Supervise staff and ensure adherence to policies and procedures.
  11. Conduct performance evaluations and training for new employees.
  12. Collaborate with HR on recruitment and staff development.
  13. Other duties as assigned.

QUALIFICATIONS:

  1. Bachelor's degree in Business Administration, Marketing, Hospitality Management, or a related field.
  2. Food handler certification required within 30 days of hire.
  3. Minimum of three years of experience in event planning or catering sales.
  4. Experience in supervising event staff.
  5. Valid driver's license required.
  6. Strong knowledge of human resource laws and best practices.
  7. Excellent communication and customer service skills.
  8. Ability to adapt to changing demands and manage multiple tasks.
  9. Strong organizational and project management skills.
  10. Proficient in MS Office and capable of learning new software.
  11. Interest in technology and experience with point-of-sale systems preferred.
  12. Physical ability to stand for extended periods and lift up to 50 pounds.
