POSITION SUMMARY

The Catering and Marketing Events Manager is responsible for the planning and execution of special events that support the Unconventional Kitchen, a catering service aimed at the public, as well as internal events within the Vincentian Collaborative System. This role serves as the main point of contact between the culinary team and clients, ensuring exceptional customer experiences throughout the entire event process.

As the representative of both the Unconventional Kitchen and Vincentian's mission, the Catering and Marketing Events Manager will exemplify professionalism and outstanding communication skills in all interactions. The ability to understand client needs, even when not explicitly stated, and to provide tailored recommendations that exceed expectations is essential. The ideal candidate will be personable and adept at managing relationships, effectively converting inquiries into sales.

This position requires a highly organized individual who excels in logistics and customer service. Responsibilities include developing comprehensive plans for customer engagement and operational success for all catering and events. This encompasses creating processes, workflows, standards, and checklists, as well as staffing models and necessary documentation for seamless execution. The Catering and Marketing Events Manager must balance strategic thinking with attention to detail, ensuring alignment with key objectives and a commitment to excellence.

Continuous improvement is a core responsibility; the right candidate will actively seek and incorporate feedback to enhance offerings and processes. Proficiency in various technology platforms to improve customer experience is crucial. A flair for creating visually appealing marketing materials and event presentations is advantageous. A forward-thinking approach, anticipating industry trends and optimizing financial performance, will be vital for success.

KEY RESPONSIBILITIES:

EVENT MANAGEMENT

  1. Oversee all facets of catering requests and events, ensuring timely and professional communication with clients, staff, and vendors.
  2. Deliver exceptional customer service, collaborating with clients to create memorable experiences.
  3. Manage event logistics, including inventory, staffing, scheduling, setup, and cleanup.
  4. Work with the culinary team to determine menu options and pricing, ensuring offerings align with customer preferences.
  5. Coordinate with other departments to ensure a seamless experience for all clients.
  6. Provide hands-on support during events, including setup and teardown as needed.
  7. Assist with the planning and execution of internal events across various Vincentian locations.
  8. Support the day-to-day operations of Unconventional Kitchen event spaces.
  9. Travel to client locations as required.

MARKETING AND SALES

  1. Act as the public representative of Unconventional Kitchen catering and events, promoting the brand effectively.
  2. Identify and implement strategies to enhance customer engagement and loyalty.
  3. Assist with marketing campaigns to inform clients of new offerings and initiatives.
  4. Stay informed about industry trends and maintain a professional network.
  5. Collaborate with other departments to identify valuable services for clients.
  6. Ensure service standards are met or exceeded, using feedback to drive improvements.
  7. Meet established performance metrics regularly.
  8. Compile weekly sales and marketing reports.

ADMINISTRATIVE DUTIES

  1. Serve as the liaison between clients and the culinary team, providing updates on event requests and staffing needs.
  2. Participate in regular team meetings to discuss ongoing projects.
  3. Develop and implement procedures and policies for catering and events.
  4. Recruit and train event staff to ensure exceptional service delivery.
  5. Assist in managing the annual budget for events and catering.
  6. Maintain accurate records for all catering and events.
  7. Oversee billing procedures for events and catering.
  8. Ensure compliance with all regulatory standards and organizational policies.
  9. Supervise staff adherence to policies and procedures.
  10. Conduct training and orientation for new employees.
  11. Collaborate with HR on recruitment and staff development.
  12. Perform other duties as assigned.

QUALIFICATIONS:

  1. Bachelor's degree in Business Administration, Marketing, Hospitality Management, or a related field.
  2. Food handlers card required within 30 days of employment.
  3. Minimum of three years of experience in event planning or catering sales.
  4. Experience supervising event staff.
  5. Valid driver's license.
  6. Strong knowledge of human resource laws and best practices.
  7. Excellent communication and customer service skills.
  8. Ability to adapt to changing demands and manage multiple tasks.
  9. Strong organizational and project management skills.
  10. Proficient in MS Office and capable of learning new software.
  11. Interest in technology and experience with point-of-sale systems is a plus.
  12. Physical ability to stand for extended periods and lift up to 50 pounds.
