As an Administrative Coordinator, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and maintaining confidentiality of sensitive information.

Key Responsibilities
  • Communication and Coordination: Manage communication center, greet visitors and vendors, and notify appropriate personnel. Answer incoming calls, screen and route calls to appropriate personnel, and maintain accurate daily call log.
  • Administrative Tasks: Manage petty cash fund, including disbursing, reconciling, and completing monthly reports. Manage outgoing mail requirements, receive and sign for incoming parcel post, and notify appropriate personnel to pick-up packages or distribute.
  • Project Support: Follow verbal and written instructions to complete typing, copying, editing, and formatting projects in support of various departments. Maintain and update sign-in sheets, and assist with keypunch responsibilities, including timecards and purchase orders.
  • Office Management: Monitor office supply usage, research vendors, reorder as necessary, and manage inventory levels. Document usage and compile accounting report per department. Organize and maintain storage areas, and ensure the lobby and work area are neat and professional.
Requirements
  • Communication Skills: Able to understand, interpret, and communicate complex ideas, issues, and instructions.
  • Technical Skills: Accurate knowledge, understanding, and efficient use of applicable software packages.
  • Organizational Skills: Ability to coordinate multiple projects to meet business requirements and schedule workflow to achieve optimum output.
