Position Overview:
The Procurement Coordinator will assist the purchasing department and field teams by executing administrative and clerical tasks as directed by the Purchasing Manager.

Key Responsibilities:
  • Support the purchasing department with various administrative duties.
  • Maintain subcontractor and supplier insurance tracking through the designated database.
  • Distribute new vendor and subcontractor packages.
  • Perform filing, copying, and other administrative tasks as required.
  • Assist in the bidding process for new projects.
  • Collaborate with the Accounting Department to ensure timely payments for subcontractors.
  • Input data into JD Edwards, and manage printing and faxing to trades.
  • Handle Notice of Completion filings and mailings.
  • Order appliances for each community.
  • Prepare and distribute bidding packages for new communities and set up new vendors.
  • Provide backup support for receptionist duties as needed.
  • Compile weekly production reports.
  • Assist in the administration of field operations.
  • Draft correspondence to other departments, government entities, and homeowners as necessary.
  • Prepare sequence sheets for each community and distribute them to trades and field personnel.
  • Order homesite-specific plot plans.
  • Coordinate plan ordering activities, including online setup and distribution.
  • Manage utility deposit refund requests and follow-ups.
  • Prepare community books for field and office, complete with specifications and product cut sheets.
  • Audit and track current contractor license information for all trade partners.
  • Maintain and input data into the lumber tracking spreadsheet using weekly reports.
  • Update and maintain master trade partner and bid lists.
  • Ensure upkeep and maintenance of plan room product files and plans.
  • Provide backup for Contracts Administrator duties.

Physical Requirements:
This position primarily involves sedentary office work, requiring the ability to work extended hours in an office environment. Candidates should be able to read plans, bend, stoop, reach, lift, and carry items weighing less than 50 pounds. Proficiency in operating a computer keyboard and calculator is essential, along with the ability to sit at a computer monitor for prolonged periods.
