Position Summary:
FedSync is seeking a qualified General Clerk/Secretary - General Clerk III to provide essential office services. The ideal candidate will maintain a close and highly responsive relationship with the daily activities of supervisors and staff, demonstrating the ability to work independently with minimal supervision. This role involves various clerical and secretarial tasks that require a solid understanding of office routines and the organizational structure, programs, and procedures pertinent to the office's operations. Familiarity with office software is essential.
Key Responsibilities:
- Telephone Management: Handle incoming and outgoing calls efficiently.
- Appointment Scheduling: Manage calendars and schedule meetings.
- Visitor Coordination: Facilitate visitor services and manage guest interactions.
- Meeting Coordination: Organize meetings, telecommunication services, and conference room bookings.
- Information Distribution: Disseminate relevant information to appropriate parties.
- Supply Management: Order and maintain office supplies.
- Document Services: Oversee copying, faxing, graphics requests, and photo services.
- Records Management: Maintain organized records and documentation.
- Data Management: Provide desktop processing and correspondence tracking services.
- Travel Coordination: Arrange travel logistics for staff.
- Time and Labor Management: Collect and manage time and labor data.
- Property Coordination: Oversee property management tasks.
- Relocation Coordination: Assist with office moves and relocations.
- Training Coordination: Organize training sessions and workshops.
- Information Services Coordination: Manage information services effectively.
- Event Coordination: Plan and coordinate special events.
- High School Diploma required.
- Experience: Minimum of 2-4 years in an office environment.
- Physical Requirements: Ability to lift and move items weighing over 20 pounds.
- Preferred Experience: Familiarity with NASA agency operations and an active NASA badge is advantageous.
- Communication Skills: Exceptional verbal and written communication abilities are essential.
- Background Checks: Must successfully pass criminal and drug screening processes.
