Job Title: Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Truck and Trailer Storage. As an Administrative Coordinator, you will play a critical role in ensuring the smooth operation of our office and providing exceptional customer service to our clients.

Key Responsibilities:
  • Assist the Service Writer and Lead Technician in day-to-day operations, including multitasking to meet deadlines and receiving and directing customers, vendors, and visitors.
  • Answer phone calls and take detailed messages, striving to provide the highest level of customer service to our clients, partners, vendors, visitors, and team members.
  • Help the Service Writer and Lead Technicians WOW every customer through all phases of the repair process, ensuring insurance partners, fleet customers, and customers are supported in a timely and professional manner.
  • Build relationships with customers by effectively responding to calls, text messages, and walk-in business, coordinating communications between customers and our team.
  • Manage customer files, including ROs, customer profiles, vehicle and trailer condition reports, and process and issue RO-barcode, purchase receipts, invoices, returns, cores, third-party services, storage fees, and final invoices and payment confirmations.
  • Manage DGG's internal inventory, including invoicing parts used, reviewing final invoices generated by technicians and the Service Writer based on POs, operating costs, parts, and associated fees, and managing payment processes, including credit, check, and cash handling.
  • Perform other duties as assigned, including bilingual support in English and Spanish and proficiency in QuickBooks and previous auto repair experience.
Work Schedule:

Monday - Friday, 8am - 5pm, with one Saturday off per week.

Compensation:
  • Biweekly direct deposit
  • Three-month probation rate: $16 per hour
  • Full-time employment rate: $18-$20 per hour, determined by experience and commitment
Bonus Structure Requirements:
  • Complete all daily billing and payment processing, day-to-day data entry, and filing, manage returns and cores, complete tasks appointed, scheduled, or apparent, and manage customer relationships with honesty, accountability, and responsibility.
  • Ensure customers are satisfied with the level of service provided, from appointment scheduling to asset pickup, and leave a genuine positive Google review.
  • Provide exceptional customer service, greet customers, vendors, visitors, and team members with respect at all times, and prioritize providing the highest level of service and attention.
  • Meet attendance accountability standards, including tardiness, unexcused time-off, no-shows, leaving early without excuse, and not performing.
Benefits:
  • Vacation (PTO): Five (5) days within the first physical year (after 90 days)
  • Sick days: Five (5) days (after 90 days)
  • Personal days: Three (3) personal days (after 90 days)

Medical: Company will cover 50% of the employee-selected plan, vision, and dentist at 100%.
