Administrative Coordinator

The Administrative Assistant will provide high-level administrative support to corporate executives or department managers, ensuring seamless day-to-day operations.
Key Responsibilities:
- Prepare and distribute confidential documents, reports, and presentations.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Develop and maintain filing systems, both physical and electronic.
- Provide exceptional customer service, responding to phone calls, emails, and in-person inquiries.
- Assist in the development and implementation of corporate materials, including reports, manuals, and presentations.
- Coordinate with field site construction personnel as needed.
- Review and process accounts payable invoices, ensuring accuracy and compliance.
- Prepare and submit customer billings for work performed by the department or division.
Requirements:
- High school diploma or equivalent.
- Associate's degree in business or related field preferred.
- Minimum three years of administrative experience.
- Advanced knowledge of Microsoft Office Suite, including Excel, PowerPoint, and Word.
- Proficiency in Adobe Acrobat Professional Software.
- Knowledge of general bookkeeping principles.
- Experience navigating AP/HR information systems, preferably COINS-OA.
Working Environment:
- Work is performed primarily indoors.
Physical Demands:
- Manual dexterity and prolonged sitting.
- Perform repetitive activities, including typing and answering phone calls.
- Frequent standing and walking.
- Occasional climbing stairs, bending, stooping, kneeling, reaching, and crouching.
- Position may require driving a company-supplied golf cart, as needed.
- Visual acuity to read printed and electronic documents.
- Lifting or exerting force up to 30 pounds occasionally.
