Job Overview

The Administrative Assistant will provide high-level administrative support to corporate executives or department managers, ensuring seamless day-to-day operations.

Key Responsibilities:

  • Prepare and distribute confidential documents, reports, and presentations.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Develop and maintain filing systems, both physical and electronic.
  • Provide exceptional customer service, responding to phone calls, emails, and in-person inquiries.
  • Assist in the development and implementation of corporate materials, including reports, manuals, and presentations.
  • Coordinate with field site construction personnel as needed.
  • Review and process accounts payable invoices, ensuring accuracy and compliance.
  • Prepare and submit customer billings for work performed by the department or division.

Requirements:

  • High school diploma or equivalent.
  • Associate's degree in business or related field preferred.
  • Minimum three years of administrative experience.
  • Advanced knowledge of Microsoft Office Suite, including Excel, PowerPoint, and Word.
  • Proficiency in Adobe Acrobat Professional Software.
  • Knowledge of general bookkeeping principles.
  • Experience navigating AP/HR information systems, preferably COINS-OA.

Working Environment:

  • Work is performed primarily indoors.

Physical Demands:

  • Manual dexterity and prolonged sitting.
  • Perform repetitive activities, including typing and answering phone calls.
  • Frequent standing and walking.
  • Occasional climbing stairs, bending, stooping, kneeling, reaching, and crouching.
  • Position may require driving a company-supplied golf cart, as needed.
  • Visual acuity to read printed and electronic documents.
  • Lifting or exerting force up to 30 pounds occasionally.
