At Stony Brook Medicine, the Regulatory Compliance Coordinator is responsible for overseeing the Quality Assessment and Performance Improvement (QAPI) Program for contracted services. This role involves maintaining a comprehensive list of service agreements in accordance with the requirements set forth by the Centers for Medicare & Medicaid Services (CMS) and the Joint Commission (TJC).

The primary objective is to enhance patient outcomes by integrating performance improvement expectations and measurement tools within contract management.

Ideal candidates will possess exceptional interpersonal and time management skills, with a keen attention to detail. They should be adept at collaborating with various organizational levels while ensuring confidentiality of Quality Management data. Top candidates will exhibit strong presentation and report writing abilities, demonstrating both initiative and teamwork.

The Regulatory Compliance Coordinator will keep the Director of Hospital Purchasing and unit managers updated on the progress of performance expectation reviews and will actively engage in the assessment of contract metrics. Additionally, this role involves maintaining internal contract tracking tools and undertaking other duties and special projects as assigned.

Key Responsibilities:

• Conduct comprehensive audits of contracts, handling varying levels of complexity independently or with minimal assistance.

• Educate hospital staff on the QAPI Program as it pertains to vendor performance and validate their self-assessments.

• Provide guidance and technical support to colleagues.

• Pursue ongoing training to enhance expertise in healthcare auditing and professional standards.

• Participate in team meetings, phone conferences, and training sessions as required.

• Identify and review all service arrangements impacting patient care and treatment.

• Maintain an updated list of Clinical and Non-Clinical Service contracts.

• Collaborate with department heads, stakeholders, and the Quality Team to establish specific performance expectations per agreement.

• Distribute evaluation tools to the appropriate department heads and stakeholders on a scheduled basis.

• Monitor vendor evaluations according to an established timeline.

• Review evaluations for performance feedback and address any negative comments or areas needing improvement.

• Document all negative feedback and communicate expectations for improvement to vendors.

• Prepare reports for the Performance Assessment and Patient Safety Quality committee.

• Present findings to the Patient Safety Quality committee.

• Report quarterly on any new Clinical service agreements to the Patient Safety Quality committee.

• Chair the Contract Service - QAPI Team meetings.

• Undertake additional duties and responsibilities as assigned.

Qualifications:

Required Qualifications:

  • A minimum of a Bachelor's degree with three years of experience in healthcare, including at least two years in procurement.
  • Strong oral and written communication skills.
  • Effective interpersonal, critical thinking, and analytical abilities.
  • Proficiency in Microsoft Office Suite and experience with data analysis tools.
Preferred Qualifications:
  • A Master's degree.
  • Five or more years of healthcare experience, including at least three years in procurement.
  • Certification in Professional Healthcare Quality (CPHQ).
