Administrative Services Coordinator

The Membership Services Administrative Specialist position plays a vital role in supporting the Vice Presidents and departmental leadership. This role involves performing a range of functions to carry out the department's responsibilities and achieve its goals.
Key Responsibilities- Manage departmental calendars, schedule videoconference calls, and gather and assemble departmental information.
- Organize and prepare for department meetings and outside meetings, including preparing agendas, notices, and minutes.
- Use software to create forms and surveys for the Membership Department and track requests/projects.
- Process and track invoices, stipends, and reconciliation of expenses for departmental leadership.
- Provide support for navigating the vendor contract approval process and submitting approved vendor contracts to DocuSign for signature.
A Bachelor's degree is strongly preferred, and 3-5 years of administration experience is required. Healthcare Association or other Non-Profit experience is preferred. Expertise with essential computer software, including Word, Excel, PowerPoint, Fonteva, Formstack, Survey Monkey, Outlook, and Access, is necessary. The ability to interact tactfully with professionals, handle confidential material, and exhibit a high degree of attention to detail is also required.
Work EnvironmentThis position requires working out of the office locally (up to 5%) and may involve extended workday hours during significant meetings and high-volume work periods. The ability to remain stationary, move supplies and equipment up to 25 pounds, and operate office equipment is necessary.
