Patient Services Coordinator

Pediatric Associates, a leader in pediatric healthcare, is dedicated to providing exceptional service to our young patients and their families. We are a clinician-led organization focused on delivering evidence-based care within a supportive medical home environment.
PRIMARY FUNCTION
The Medical Receptionist plays a crucial role in ensuring a positive experience for patients and visitors as they enter our facilities. This position involves gathering necessary information, processing payments, and assisting with appointment follow-ups.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following responsibilities are integral to this role:
- Welcome patients upon arrival, ensuring accurate updates to personal details, insurance data, and collecting necessary co-pays and balances.
- Facilitate the check-out process, providing patients with visit summaries, referral information, and details regarding follow-up appointments.
- Confirm patient insurance status and communicate with patients regarding any discrepancies.
- Manage patient charges and payments, ensuring accurate financial reconciliation.
- Utilize Document Management systems for scanning and uploading relevant documents.
- Organize and distribute incoming mail and documents, maintaining a tidy workspace and waiting area.
- Engage in staff meetings and educational sessions to enhance service delivery.
QUALIFICATIONS
EXPERIENCE:
- Preferred minimum of one year in a medical office environment.
LICENSURE/CERTIFICATION:
- Valid driver's license required upon hire and throughout employment.
KNOWLEDGE, SKILLS, AND ABILITIES
- Ability to learn and implement Pediatric Associates' procedures and protocols.
- Strong verbal and written communication skills are essential for effective interaction with patients and staff.
- Capability to comprehend and follow both oral and written instructions.
- Familiarity with medical terminology and computer systems is advantageous.
- Demonstrated ability to provide outstanding customer service and maintain professionalism in all interactions.
- Proficient phone etiquette and communication skills are necessary.
- Ability to maintain confidentiality and exercise sound judgment.
- Experience with filing systems, both alphabetical and numerical.
- Competence in using office equipment such as computers, scanners, and printers.
TYPICAL WORKING CONDITIONS
- Direct patient interaction is a key component of this role.
- Flexibility to work in both office and remote settings as required.
- Indoor work environment with occasional travel to various office locations.
- Medical Receptionist float staff may be assigned to multiple locations as needed.
OTHER PHYSICAL REQUIREMENTS
- Ability to see, hear, touch, and smell.
- Capability to wear Personal Protective Equipment (PPE) as necessary.
PERFORMANCE REQUIREMENTS
