The Executive Assistant will be responsible for managing the day-to-day administrative tasks for the executive team, including scheduling, communication, and travel arrangements. Key Responsibilities- Manage the executive team's schedules, including coordinating meetings, appointments, and travel arrangements.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents with strong attention to detail and proper grammar.
- Serve as the primary point of contact between the executive team and internal/external stakeholders, ensuring professional and effective communication.
- Prepare and organize meeting agendas, materials, and minutes, and follow up on action items as needed.
- Handle confidential information with the highest level of discretion and integrity.
- Coordinate domestic and international travel arrangements, including flight bookings, hotel accommodations, and itineraries.
- Manage and organize files, records, and documents to ensure easy access and retrieval.
- Assist with the preparation of board meetings, including logistics, materials, and communication with board members.
- Monitor and prioritize emails and other communications, responding on behalf of the executives when appropriate.
- Perform general administrative tasks, such as expense reporting, invoice processing, and office supply management.
- Support special projects and initiatives as assigned by the executive team.
- Associates degree in Business Administration, Communications, or a related field preferred.
- At least 2 years of experience as an Executive Assistant, Administrative Assistant, or similar role.
- Exceptional written and verbal communication skills with strong attention to grammar and detail.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word) is required.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- High level of professionalism, discretion, and confidentiality in handling sensitive information.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience in coordinating travel arrangements, including international travel.
- Familiarity with nonprofit organizations and board governance is a plus.
