Your Role in Our Success (Position Summary)

As a Senior Administrative Coordinator, you will undertake a variety of complex, diverse, and confidential administrative responsibilities, providing support to members of the Executive Leadership Team and select associates. You will work autonomously and collaboratively on projects of varying scope and complexity, ensuring the seamless operation of the Corporate office. This role requires significant discretion and sound judgment to achieve objectives.

Key Responsibilities (What You Will Do)

Your daily tasks will include:
  • Providing executive-level support
  • Collaborating with fellow Administrative Coordinators to ensure efficient office operations and adherence to deadlines.
  • Facilitating communication and coordination of directives with executives, their teams, and other personnel throughout the organization, including the Board of Directors and Executive Leadership.
  • Acting as a reliable resource for inquiries and disseminating information as appropriate.
  • Working closely with the CHRO and President of Global Operations to effectively manage calendars and scheduling.
  • Coordinating travel arrangements for executives and others as required.
  • Serving as a liaison for scheduling virtual and in-person meetings, managing visitor logistics, and handling incoming correspondence.
  • Preparing and reviewing standard presentations and reports.
  • Drafting correspondence for executive approval and organizing executive communications and records, ensuring follow-up as necessary.
  • Managing additional projects as assigned, including corporate travel planning and investor relations activities.
  • Upholding company policies and internal controls in all duties performed.
  • Providing backup support to the Executive Assistant to the CEO, assisting with projects and coverage as needed.
  1. Office Administration:
  • Overseeing daily administrative functions of the Corporate office, including managing facility needs, mail, deliveries, and visitor coordination.
  • Coordinating with landlords for maintenance and general facility communications.
  • Managing inventory of office supplies and equipment.
  • Collaborating with IT staff to ensure the deployment of necessary technology tools and resources for operations.

Essential Experience
  • Strong interpersonal skills, with the ability to cultivate relationships and communicate effectively with internal and external stakeholders at all levels.
  • A proven ability to manage multiple priorities with diplomacy, urgency, and energy.
  • A solid understanding of corporate communication dynamics that emphasize collaboration and respectful dialogue.
  • Exceptional attention to detail, professionalism, and leadership capabilities.
  • Project management expertise, with the ability to balance multiple initiatives independently.
  • Proven discretion in handling highly confidential information.
  • Experience in travel and event planning, including both domestic and international arrangements.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • An Associate's Degree or equivalent professional experience.
Education & Certifications
  • A minimum of 10 years of experience in a similar role within a corporate setting.
Travel & Work Environment
  • Minimal travel required (less than 10%).
  • On-site work environment.
