PSR - Patient Services Representative - Urology Clinic
Job Summary:
We are seeking a highly organized and detail-oriented Patient Services Representative to join our team at the Urology Clinic. As a Patient Services Representative, you will be responsible for coordinating patient schedules, providing exceptional customer service, and ensuring the smooth operation of the clinic.
Key Responsibilities:
Scheduling:
Schedule patient appointments, either by telephone or in person. Provide information about clinic operations. Obtain patient demographics on new patients and update demographics on established patients. Answer telephone calls and distribute to the appropriate people. Prepare and enter healthcare providers' schedules into the computer. Coordinate schedules as directed to patients requiring multiple services.
Check In/Check Out:
Greet patients as they come into the clinic for scheduled appointments. Accept payments and write receipts. Total encounter forms and inspect the form for completeness and accuracy. Code procedures and diagnoses. Ensure the resident and faculty signatures are on the encounter form and chart. Copy insurance cards and distribute to the appropriate people. Prepare encounter forms and billing packets for patients to be seen. May prepare and type daily deposits. Balance and close cash box daily. Prepare ancillary forms for other services (i.e. x-rays, vascular services, etc.). Print and fax physician schedules to offices.
Filing and Organization:
Pull patient charts for appointments or to file lab, x-ray, hospital information or other information into the chart. Copy medical records for patients and other providers or facilities. File patient charts. Prepare inactive patient charts for storage. Maintain log of charts in storage. Secure charts that have been sent to storage that are needed in the clinic. Replace torn charts with new covers. Make up new patient charts and/or packets of information. Prepare new patient inserts for charts. Request medical records from other facilities.
Referrals and Authorizations:
Talk to patients about financial accounts. Verify insurance eligibility and primary care physicians for patients. Secure referrals to other providers for HMO patients. Secure referrals from PCPs for HMO patients to be seen in the clinic. Collect and verify proof of income in order to determine what sliding scale discount is appropriate, if any.
Miscellaneous:
Dispense supplies as needed. Notify appropriate person when supplies are low and need to be reordered. Type notes and letters for physicians as needed. Make immunization cards as needed. Log mail receipts according to University policy. Sort and distribute mail.
Requirements:
1 or more years of professional work experience required. 2 or more years of experience in customer service preferred. OR equivalent combination of education and experience. Good verbal and written communication skills. Customer Service skills. Interpersonal skills - able to work effectively with other employees, patients and external parties. Proficient with the use of Microsoft Office tools.
