ROLE SUMMARY:


Under the guidance of management, our Administrative Support Specialists are tasked with welcoming patients and visitors in a timely, courteous, and professional manner, acting as a bridge between patients and medical personnel. This role ensures that all documentation is complete, accurate, and compliant with company protocols.

All staff members are expected to uphold the US Oncology Compliance Program, including adherence to the Code of Ethics and Business Standards.


Key Responsibilities:
This role demands a detail-oriented, multi-tasking individual with strong customer service and technical skills. Successful candidates will demonstrate initiative, a commitment to continuous improvement, teamwork, and integrity within a medical office setting.

PRIMARY DUTIES AND RESPONSIBILITIES:
- Greet patients and visitors promptly and professionally, ensuring all necessary forms are collected.

- Gather demographic and insurance details, including photocopies of insurance cards and identification for record-keeping. Update information in the system as required.

- Register new patients in the system and prepare their charts. Notify nursing staff of patient arrivals and organize charts in appointment order. Assist in preparing charts for upcoming appointments and print schedules as needed.

- Manage multiple phone lines effectively.

- Collect co-pays, deductibles, and other out-of-pocket expenses during patient visits, issuing receipts when necessary.

- Post daily charges accurately.

- Distribute condolence cards to families of patients as requested.

- Maintain a tidy and organized lobby area.

- Identify no-show appointments and facilitate patient notifications.

- Uphold patient confidentiality to protect both the patient and the clinic.

- Follow established policies and procedures to enhance front office efficiency. Provide coverage for other front office roles as needed.

- Prepare correspondence, memos, forms, and other documentation as requested by supervisors.

- Perform additional duties as assigned.

Qualifications:

MINIMUM REQUIREMENTS:
A high school diploma or equivalent is required. This is an entry-level position requiring 0-3 years of experience, preferably in a healthcare environment.
