Job Summary

We are seeking an Administrative Coordinator to join our team at CCMC, a community management company specializing in master-planned communities. The successful candidate will be responsible for maintaining a high degree of customer service in all resident inquiries and interactions, answering a high volume of phone calls and emails, and providing general information or re-direction to appropriate departments.

The Administrative Coordinator will also assist with administrative, accounting, and other clerical needs using a variety of office equipment, software, and tools. This includes opening, logging in, and appropriately disseminating all incoming mail and deliveries, accepting Association payments, processing checks for immediate posting, and assisting Homeowners with payment options/methods and waivers of late fees or fines.

The ideal candidate will be professional and adaptable, with good time management and organizational skills, and the ability to maintain the confidentiality of business matters. They will also be self-motivated, dependable, organized, and efficient, with excellent problem-solving skills, and a strong working knowledge of MS Office programs such as Outlook, Word, and Excel.

Key Responsibilities
  • Provide exceptional customer service to residents and Homeowners
  • Assist with administrative, accounting, and other clerical needs
  • Manage accounts payable processes, including coding of invoices and maintenance of expense backup documentation
  • Inventory, maintain, and order office and janitorial supplies
  • Participate in community events and meetings as needed
Requirements
  • Professional and adaptable, with good time management and organizational skills
  • Self-motivated, dependable, organized, and efficient, with excellent problem-solving skills
  • Strong working knowledge of MS Office programs, including Outlook, Word, and Excel
  • Able to communicate effectively orally and in writing, with high attention to detail
  • Excellent telephone manner, with a commitment to the highest customer service possible
  • Valid driver's license in the state of employment, with reliable means of transportation
  • Ability to sit or stand for extended periods, and attend community events as required
